  1. Admin report or interface showing exactly where in a given file the Upload Policy was violated.

We are leveraging the Policies engine to create Upload Policies to detect and prevent PII from being uploaded into Box. When the upload policy exception is triggered, we would like to see a report or somewhere on the screen exactly where in the document the file violated the policy.

Ideally, by knowing what exactly triggered the policy, we would then use the 'Mark as False Positive' feature in the Content Manager Quarantine location to improve the Policy Engine's accuracy accordingly.

  2. Option to delete the folder alongside Permanently delete content policy

We auto-delete completed projects after 30 days and would like to automate this process with retention policies.

Currently, a Permanently delete content policy only deletes the content within a folder, however, we need the folder itself deleted because it contains the confidential name of the project.

This is currently not on the roadmap as we have not heard this request from many other customers. We will consider it in the future if there is increased customer demand.

This is an interesting request! However, we have not prioritized it in the short term.

With additional customer feedback, we may reconsider in the future.

  5. Permissions requirements to apply retention Governance

The "view users content" setting is needed to apply retention policies to content that you don't personally have access to.

This setting is quite restrictive given that only one person in our company has "view users content" access.

It seems like there should be an additional setting or way to apply retention to users content without relying on this checkbox

  6. Add 'Released Holds' Section to Legal Holds UI

Currently, there's no way (aside from digging through Box events) to look at Legal Hold policies that have been 'released'.

This means that once a user clicks 'Release' on a hold, there's no UI for that hold anymore whatsoever.

Digging through unique events in Usage Logs is not an answer to 'show me the holds that we've released - I want to take a quick look at the holds the team has been releasing recently'.

REQUEST: Add a 'Released Holds' section to the bottom of the existing Legal Holds UI in the Admin Console.

    Thank you for your suggestion.

We explored this during our initial investigations, and our customers told us they did not want record of prior holds in this view, thus potentially implicating them in still being responsible for the litigation.

This is not planned work but may be reconsidered if there is a ton of customer feedback to the contrary.

  7. Add Customizable 'Advisory Message' for Retention Policies

Just as admins can customize the 'Advisory Message' shown to users for Classification policies, we want to customize the message shown to end users when they click for 'more info' on the 'Retention' UI element in the webapp (aka add an 'Advisory Message' field to the Retention Policy creation UI in the Admin Console).

USE CASE: We would like to provide customized, specific messaging for our end users when a retention policy is applied. These users might be coming from a world where retention was managed differently. We want more control over the verbiage used.

While this is a very understandable request, most customers are using a third-party eDiscovery tool and therefore we’d like to focus on higher and broader impact features.

  9. Upload Policy Type for folder locations

'Upload' Policy Type does not provide the option to apply at a folder level. It would be ideal if all policy types had the option to apply it to specific folders.

  10. Longer log retention period for Legal Holds

Box retains log data for a year, but we need longer log retention period for Legal Holds.

  11. Version number in Legal Holds Report

Legal Holds Report includes "File Version ID", but this value is like "109680448118".

We have to call APIs to get the actual version number. It's more useful to include "sequence_id" in Legal Holds Report.

Thank you for the submission! This is not work we have scoped in the near term, but will reconsider with additional customers supporting this suggestion.

  12. Restrict the move to the trash in Retention and Legal Holds

Currently, Retention and Legal Holds prevent contents from deleting them permanently, but it's more helpful to let contents not to move to the trash. We would like to choose from either option. ion.

This is an understandable request, but if fulfilled, would create a situation where users had no way of removing files from view.

  13. Trash deletion is explicitly reported in the Events stream

Today, when item(s) are deleted from the trash it shows up in the Events stream as a general DELETE event. You are not able to tell if the item was in trash or a regular folder. Would be great to have a distinction of event type such as DELETE vs DELETEFROMTRASH.

This is important because there are scenarios to identify when a file is emptied from Trash and thus unrecoverable (outside the 14 day window).

  14. Remove Option to Download or Edit A Quarantined file.

Remove the option for a user to Download or Edit a quarantine file within Box. This affects security of sensitive information being shared by users.

The user who uploads the file already has access to the file in some form – that is why we allow them to download the file if it violates a policy, because it does not extend access.

We do not have plans to change this behavior.

  15. Smart Archive

Ability to report on content that hasn't been accessed, modified etc after a certain period of time and ideally take action e.g. delete or move to archive.

While the request here is clear, this is not planned on our roadmap. The workaround would be to alert a set of admins on the account and have them deactivate or make the user inactive.

  17. Block Uploads of File Types, rather than quarantine upon upload

We want the option to totally prevent the upload of any specified file types to users accounts.

We do not like the current method that still allows files to be uploaded, but are quarantined. Users can still download or edit the file as an option.

We want complete restriction of specified file types being uploaded by users.

  18. Collaboration Whitelisting - Add Ability to Whitelist Specific External Users

The Collaboration Whitelist feature is currently scoped to whitelist entire domains

REQUEST: Take this current domain whitelisting a level deeper by only allowing certain users from a given domain to collaborate with ones own EID, aka introduce user-level external collaboration whitelisting controls to where a company can say "block all collaboration with all @acme.com users except for X @acme.com users"

  19. Allow owners to permanently delete content even if it is in a folder that is under retention policy.

Allow owners to permanently delete content even if it is in a folder that is under retention policy.

Legal would like owners to have the ability to still purge content when necessary (without moving the content to a different folder).

While we have considered retention policies that do not block early deletion, this is not something we plan on pursuing right now.

The original purpose behind retention was to support highly regulated use cases. With more customers requested this “non-regulatory mode”, this may become prioritized later.

  20. When the Allow Content to be Deleted by Users option is selected, allow admin to customize follow-up reminders

For a retention policy, the retention notification is sent to the owner 14 days prior to the expiration date. It looks like this is the only reminder the owner receives.

REQUEST: When the Allow Content to be Deleted by Users option is selected, all admin to customize follow-up reminders to the Owner/Co-Owners once the retention period has passed. This option does not auto-delete the content so reminders would help ensure that they review the file and delete if necessary.

This is an interesting use case. We will re-consider this work if we find it has a large impact on a substantial amount of our users.
