Define version limits by user, folder or file
We like the ability to set the number of file versions per user, folder or file

No plans at this time to add this to our existing upload policies, but we will explore methods to enable this through other means.

Retention policy should be able to remove folders in addition to files.
Currently the governance retention policy only delete files. We are using the integration with Oracle NetSuite and as such we have a folder that then gets a folder setup for each Case as we are sending and/or receiving data from customers via the Case we have with them. The policy is set to get data for 30 days. The files are getting removed, however, the folders still exist. This makes it challenging when you look from the Box web interface. It would be nice to have the ability to set folders to remove if they are empty.

Indefinite retention for top level, Finite retention for sub-folders
Ability to have an Indefinite retention policy as a top level folder and Finite retention policies on sub-folders. Sub folders should by default inherit from the parent, but if listed in another policy then the sub folder should be able to override the default
a. This would prevent having to have separate folder trees for Indefinite and Finite policies
b. The parent could be ‘Work in Progress’ and then just move to a sub folder…keeps the documents more logically organized by department

Create Legal Holds with the same name as Deleted Legal Holds.
As a Governance client, I would like to create legal hold policies that have the same name as a previously deleted policy. Currently, this is not possible and will bring up a duplicate error. This is important as we are about to add new policies with the same names for consistency reasons.

Prohibit that an external collaborator deletes files
When some user invites an external collaborator as "Editor" to some folder, the external user can delete any files in the folder. The deleted file is sent to the external collaborator's trash. It's not good for some security-centric customer, so they need the function to prohibit that an external collaborator deletes files to protect their assets.
5 votesThis should be managed through our existing permissions framework rather than a specific policy. If an external user deletes a file, it also lives in the owner’s trash folder who is a managed user in this instance.

Legal Holds based on Metadata
Allow the ability to put content on Legal Holds based on metadata attached to the document. Customers may utilize metadata moreso than custodian or date to identify content to be placed on Legal Hold
5 votesAs metadata usage is currently quite low, and because this is possible via the API, this is not currently planned for support within the Governance UI. We may reconsider with more customer feedback or higher usage of metadata.

Allow to freeze file and folders
Allow to freeze file and folders, which will not allow any collaborators including the owner to perform any changes to files and folders. Example: prevent creating new versions of the files, prevent moving content to trash, prevent change of metadata etc. Basically complete lock, which can only be unlocked at the end of a retention period. The purpose is to manage enterprise records. May be some sort of retention policy that lets us do the above. The current lock feature does not provide the level of freeze we are looking for.

Additional approval for large delete actions
We'd like the ability to add an optional multi factor authentication or admin approval while deleting files or folders above some specific amount data e.g 50 GB.

Warning when changing metadata associated with retention policy
Warn or prevent the user if they are changing a metadata value associated with a retention policy from a value with a longer ret policy to one with a shorter ret policy

Use Box as governance layer for content outside Box
Ability for Box to function as federated content viewer (governance) - as some content will remain outside Box. Use Box as governance layer but not storage element.
4 votesWe do not plan to enable Box Governance as the federated policy layer across multiple systems at this time. However, it is possible to use the Governance APIs to enact this if you have another federating system.

Apply disposition action based on "Move" date
We would like to move active projects to a completed projects folder that deletes content after 30 days.
The disposition action should occur 30 days after the project is closed and the folder is moved, rather than when the files were initially uploaded or last edited.
We cannot apply a policy to the active folder because we need to be able to delete files.

Customize Upload Policy Email Notifications
Ability to add customized logos, hyperlinks, and change the text of the notification email so it makes more sense for our organization.
As the notification stands now, it's generic and we want to make it more descriptive.

Different Custom Terms of Service for Specific External Collaborators
Looking for a way to use different custom terms of service for different external domains since currently you can only use one set of terms for all external users

New 'Limited' Content Manager Permission - No ability to preview or download files/folders
A new co-admin option that's more even more restrictive than the current 'View users' content' Content Manager role with the following abilities:
--View users (like currently possible)
--Browse user folder trees (like currently possible)
--View file properties (uploaded, version #, modified, name, description, etc.)
--View collaborators on folders and add new collaborators to folders
--NO ability to preview or download files or folders (this is the critical item that's missing currently for Coke as even the 'view' Content Manager role currently allows the co-admin to preview and download files/folders)This could possibly also be solved by breaking up the Content…

Retention Policy blocking trash
Currently end users can move contents to trash even if it is under retention policy, I would like retention policy to also block users to send content to trash.

Apply retention policy to both metadata and folder
Currently you can only select metadata or folder when applying retention policy,
I would like to set the retention policy up by applying both metadata and folder.
This way I can restrict the specific content by narrowing down the files within the folder that has a specific metadata.3 votes -

The ability to exclude Box Drive and Box Sync synchronization processes and file opened downloads in the download policy of Box Governance options
The download policy of the Box Governace option also detects the synchronization process in Box Sync and Box Drive, as well as the downloading of files when they are opened.
Therefore, it is not possible to detect only those downloads that are intended by the user.
By adding the Box Sync and Box Drive synchronization process and a setting to exclude downloads when a file is opened, you can detect and monitor large numbers of user-initiated downloads.3 votes
