Removed Collaborator Report That Show Affected Folder Path, Folder Owner, & Link To Affected Folder
Recently, my company ran into an integration bug between Okta and Box, which result in a mass deprovisioning of users account. We were able to reprovision user account fairly quick but there as a mass folder permission lost.
If the user permission was granted via a group, all permission was successfully restored. However, if the permission was granted individually, that permission was lost. Ticket was open with Box support to request for assistance with folder permission restore but they could not help.
So the next best thing was try to run "User Activity" report on "Removed Collaborator" on the service account that was use for Okta and Box, to see which user account and folder was affected. Sadly the report only show just the affected folder name and the affected user. This is an problem, since we ran into the following issues:
- There are multiple folders with the same name. Without the folder path or folder owner, it hard to confirm which folder was the right one.
- If the service account does not have permission to the folder, we can't search for the folder.
- We have no way of knowing if the folder was internal or external.
- We have no folder owner name, so we can't reach out to the folder owner to request for assistance with re-granting the permission.
So our second attempt to reach out to Box support was to request for a report that can provide us with the affected folder path and folder owner, but we were told there is not a way to pull that information.
This really ***** us over, as we have no mean to actively assist user with getting their permission restore. What we need in this case is a undo button to restore all the permission in the past 24 hours. But that asking for too much, so I just like to get a updated report for Removed Collaborator that show the following information:
-Date & Time
-Affected User Name
-Affected User Email
-Affected Folder Name
-Affected Folder Path
-If the affected folder is internal or external to the company
-Details (Permission that was removed)
-Affected Folder Owner
-Affected Folder Owner Email
-Link To The Affected Folder (so I don't have to spend day searching for it)
I am sure my company is not the first or the last to run into 3rd part integration issue that could result in mass folder permission lost. Any new method for mass permission restore or new report that can assist in restoring user permission would be greatly appreciated.
