  1. Ability to report on what types of files users have

The ability to drill down at the user level to show what kinds of files a user has. E.g. 50% .docx, 10% jpg etc. without looking at the content itself.

This is not something we plan to expose to Admins. We will continue to optimize search for end-users without the intervention from the admin team.

Thank you for your submission. However, this does not have enough demand in order to be prioritized.

We will reconsider with additional use cases.

  4. Global setting to control "Items per page on All Files" for managed users

Want ability to update default items on All Files page to 100 for all managed users, and not make users do this individually.

This is not a setting we are likely to build. We hope the relatively new Files app enables users to more easily find this setting in their end user experience to change it themselves.

  5. Usage stats per region of the world (Global stats)

We have global offices / teams dispersed globally. Admin teams currently have no way to monitor Box usage broken down by these teams (workaround suggestion is to create groups by office, but lots of admin overhead).

Suggestion is to use localization settings, IP address, or Box regional setting and categorize by country or region (Europe, APAC, LATAM, NATAM, etc.) to allow admins to report on usage stats by global region. (heat map of the world, etc.) Current reports with an additional column/filter.

  6. Ability to report on amount of content stored over time (more than week view) & ideally ability to break down by region (global).

We would like to see the evolution of their Box account, how much content we continue to add over time from when we initially deployed, and to break this down by our global teams.

  7. Bulk Edit - Add Ability to Change Primary Email Addresses

Bulk Edit currently allows admins to change various settings for users, but it does not allow the admin to 'bulk edit' the primary email addresses for their users. This functionality would be handy in various scenarios, including when a company goes through an email domain change.

Right now, customers must come to Box (Customer Success) to have us run scripts in Internal Admin to do bulk email changes as we do not have this feature natively in Bulk Edit within the Admin Console.

  8. Access Statistics Toggle for Admins

It would be useful to be able to enable or disable access statistics for non-owners.

Currently, there are some collaborators that are required to be editors to be able to sync, but should not be able to see access statistics.

Thank you for your suggestion. This is a niche use case and would cause additional complexity on the Web App side. We will reconsider with additional demand and use cases.

  9. Team Leads - Allow Reporting

    1. The file Access Stats feature has been requested to be exportable for all records. Similar to this Q.

    2. A user requested to have access to self-run a filtered view of the Admin-Collaborations report to quickly see the status of all his collaborators (he deals with numerous external users and needs to know who to re-prompt.)

We would like this outside of the Admin/Co-Admin being able to do it.

We will still require admins/co-admins to grant access to reports such as this. However, we are looking into which controls and reporting might require additional self-serve enablement options.

  10. Add additional user reporting without "Export User" report

There is currently no way to report on Users besides the export user option which exports the entire list of users in the enterprise along with a lot of useful details.

It would be very useful if admins could generate reports with the options in the sort by on the webapp. While we can use the sort by on the web, exporting the users provides more details on one screen admins can review that the webapp does not provide unless you drill into each user.

For example, ability to export users (along with current details on the user export) that…

We don’t have any plans to make user reporting available in the webapp at the moment.

  11. Admin Messaging to all Users

Currently, there is no way to send a mass message to all users in an enterprise. It will be great to be able to send a message about an upcoming maintenance or upcoming feature users can look forward to or certain changes that may be coming directly from Box.

I needed to send a message to our users a few weeks ago when we needed to disable SSO in order to perform some maintenance with Recommend and I had no options. I used a Box group we add all our users to, but there is no HTML formatting so the…

This suggestion is not under consideration for the current or future roadmap. We are currently focusing on making foundational updates to the Users & Groups page to make managing users easier at scale.

  12. Ability to create a custom group name that will be displayed on the collaborator list without affecting the SSO integration

Currently, groups only have names unlike user accounts that have names and aliases. However, since we have SSO groups enabled, we have found that is impossible to rename groups without causing issues.

Because of SSO groups, we had to have a specific naming convention for our groups so we can know which groups to send to Box. All our group names begin with COMPANYBOXPD and then the corresponding team name. Since these groups are shown as collaborators, it will be nice to be able to edit the group to display a user friendly group rather than the technical…

Thank you for the submission! This is a reasonable request. However, we will need to hear from additional customers before prioritizing this request.

  13. Ability to add a comment to a user.

If we mark an account as Inactive, we'd like to be able to add a comment to the user for tracking purposes e.g., "Disabled by Jane D. per contract non-renewal."

  15. Additional MFA for Admin Console

When logged in as a user, we would like to be prompted for MFA for Admin Console access in case the admin's Box credentials are compromised

  16. Control External Collaboration at User Level (not folder level)

Currently, users can have a restriction placed on them that folders owned by that user cannot be collaborated outside of the organization. However, if that user is invited into a folder that allows for external collaboration, that user can invite external collaborators.

We want flexibility to control this at a user by user basis. For example, User A should not be able to invite external collaborators, regardless of folder that they're invited into. However, User B should have the ability to do so (but only within folders that User B owns or within another folder that is set to allow…

Thank you for this request! I’d like to see additional customers with use cases for user-level collaboration restrictions.

Collaboration is a setting that is tied to content rather than users, and I’m not sure that we have evidence yet to make changes to that model.

  17. Auto Provisioning for Japanese name (lastname->firstname)

When Auto Provisioning option is enabled, the user's name is set "firstname lastname", but we hope to have "lastname firstname".

Currently, Japanese users set firstname information to "lastname" and lastname information to "firstname" in SAML Response.

Firstname and Lastname should be separated like in Salesforce.

Thanks for filling this. Because there is a workaround (though not ideal) to this issue, we are not likely to prioritize this request.

  18. The ability to set the report name when the Export Report option on any report

Exported reports currently write with a standard name of the report type with date and time but it is challenging when I have reports with almost similar names and the only difference is the date and time. It is confusing to ID a report when I run the same report multiple times.

If users can specify the report name when exporting it, it would make it easier to jump to the report. I know users can rename the report but it would be a lot easier and more efficient if the report is named right from the start.

  19. Inactive State: Do Not Hide Owned Folders for Managed User Collaborators (still hide for External Collaborators)

Currently the 'Inactive' User Status not only prevents the user from accessing their account, it also hides ALL owned folders for all collaborators.

Meaning if John Smith is changed to 'Inactive', all of the collaborators that are in his owned folders will no longer see those folders in their accounts.

REQUEST: Change this status to only prevent the user from accessing their account, while keeping their owned content visible for Managed User collaborators (keeping today's behavior of hiding for External Collaborators).

We are currently re-designing our managed users page for performance and usability updates which will be released at the end of this year. We will revisit newer features to user management after we release our new UI. In the meantime, please add your use cases in the comments so we can have this feedback when we decide to pick this up.

The User Filter is built to only look at the list of current, managed users, so it would be quite difficult to include deleted users.
