Automating Document Creation via Dynamic Table Generation with Forms & Doc Gen
[Request]
Enable Dynamic Table Generation When Creating Documents with Forms + Doc Gen[Customer Use Case]
The headquarters IT department wants to automate the monthly task of issuing invoices for system usage fees to the group’s local subsidiaries.[Customer Needs]
They want to implement the following workflow as a web-based solution without custom development.- Enter invoice data per subsidiary via Forms
- Generate the invoice with Doc Gen
- Send a signature request to the manager via Box Sign
- After the manager signs, move the document to the shared folder with the local subsidiary
At present, this could be achieved by using…

image preview of a file when uploaded to forms
We wanted to do a 'final asset quality approval' workflow utilising Box Forms... but because Forms doesn't have the capacity to show a small thumbnail image of what's been uploaded, and after a meeting with PM it doesn't sound like this is coming anytime soon, we are going to use Jotform instead and integrate it. It's a shame as it would've been a great e-advanced use case. Can we get image previews of assets uploaded to Box Forms?

Redundant Shield alerts
Box Shield should be able to recognize when the same file or file set appears in multiple locations and treat it as a single item, rather than generating duplicate alerts across each instance. This would allow users to acknowledge (or dismiss) an alert globally—once for all occurrences—rather than having to clear it separately for every flagged file.

Hubs permission model should be more granular (add previewer)
Currently in the Box Hubs Beta, all collaborators invited into a Hub receive the "Viewer" permission on files and folders linked in the Hub. This does not allow for Hub content to be view-only and block downloading of content. Alternative methods of managing this such as rolling out classification policies would not be scalable as Hubs usage grows. It would be great if Hubs collaboration could be more granular and there was an ability to invite users or groups into a Hub with other permissions such as "Previewer" so they are more restricted on what they can do after accessing…

Retain only recent versions of files
A lot of storage space is dedicated to old versions of files that will never be needed. We would like the ability to retain large number of versions of content in the short term, but to only keep few versions older than a year.

Ability to Reassign Group Admin Permissions En Masse
Via the GUI, it would be great to be able to reassign group admin permissions to a user for multiple groups in bulk. Use case is one user is admin for many internal groups, they leave the org, and their admin role requires replacement.

Increase Multi-Document Querying Limitations from 10
The current system limits the number of documents that can be reviewed in a single session, which has led some public sector users to process eligibility documents in multiple smaller batches. In practice, screenings often involve significantly more documents (70 in some cases) than the system currently supports in one batch (10 max), resulting in added workload and inefficiency.

Move/Copy dialog search no longer shows parent folder path
In the Move/Copy dialog, search results no longer display the parent folder or path context for folders with identical names.
Previously, search results clearly showed both the folder name and its parent location. Now, only the folder name is shown, resulting in duplicate entries that are indistinguishable unless each one is opened.

Ability to invite external unmanaged users into Box Apps
We are requesting a new feature that allows external (unmanaged) users to be invited into Box Apps.
Use Case Example:
A law firm wants to share categorized legal documents with their clients through Box. Currently, Box Apps enable internal users to view and manage files with rich metadata, making it easy to organize and automate workflows. However, clients cannot access these metadata views directly. Customers should have the ability to view this structure and even work with it to launch automations and processes, as well as search their documents more easily.22 votes -
Feature Request: Increase Prompt Length Limit for AI Ask Prompt API
Hi Box Team,
We are using the AI Ask Prompt API (post-ai-askprompt), and the current 10,000-character prompt length limit is proving to be too restrictive for practical AI use cases.
Reference: https://developer.box.com/reference/post-ai-askprompt
Many scenarios—such as working with long documents, adding sufficient context, or giving detailed instructions—require longer prompts. With the current limit, important context must be truncated, which often reduces response quality.
Request: Increase the maximum prompt length
Expanding this limit would significantly improve the usability and value of Box AI for developers and enterprise workflows.
Thank you for considering this feedback.

Export objects from Box Canvas
It has become very convenient to be able to export the entire Box Canvas as a PNG file.
However, it would be even more useful if individual objects on the Canvas could be copied and pasted into PowerPoint as separate objects.

We would like the "Share" UI for web collaboration to be improved.
Currently, the options for inviting users and generating a shared link are on the same screen, which can be confusing for users.
Please separate the invitation and shared link issuance into clearly distinct screens.

The locking feature in Box for Microsoft Office
Collaborative editing is convenient, but there is a need to prevent others from making edits while someone is making important changes. In Box for Microsoft Office, I would like a feature that allows me to explicitly lock a document while I am editing it, in order to prevent editing conflicts or unintended overwrites by other users during collaborative editing.
11 votes -
AI Summarize document content capability for Signers
Hi Box Team,
We would love to see Box AI integrated directly into the Box Sign experience for signers.
Currently, if an executive or legal rep wants to summarize a contract or check key terms before signing, they have to download the document and upload it to a separate AI tool. This creates extra steps and pulls them entirely out of the Box ecosystem.
Bringing Box AI into the signer view would allow users to securely review documents without leaving the workflow. It would also help Box Sign match industry standards set by platforms like DocuSign, where native AI review…

Enable external users to have Editor or Co-Owner permissions
External users can only be given Viewer permissions which limits the functionality of Hubs. It would be useful if they could have Editor or Co-Owner permissions just like they can for folders.

I would like to have sequential audio playback for audio files in the same folder (like a playlist)
I would like a feature where audio files that are in the same folder to automatically reproduce one after the other without having to start each one everytime (like a playlist)
