Enforce signer-only access and security controls in Box Sign
It would be helpful to have the ability to restrict access to Box Sign documents to signers only.
Currently, additional protections such as password or login can be configured, but access itself is not strictly limited to the intended signers, which may create a risk of unintended access.
It would be great if admins could enforce signer-only access at the organizational level, ensuring that only designated signers can view the documents sent via Box Sign.

Automatic Box Canvas Creation Based on Instructions to Box AI
Currently, Box Canvas provides templates, but users still need to create the content themselves each time, which can be burdensome.
To further reduce user workload, I would like to request a feature that allows Box AI to automatically generate a Box Canvas output based on user instructions.
22 votes -
Enable a Group Membership Admin role, which allows add/remove members of a Box group, without enabling modifications to the group.
Dear Box Product Owner,
This request proposes a new "Group Membership Admin" role within Box Groups to improve access control management, particularly for folders containing sensitive information, and to streamline compliance with regulatory requirements.Problem:
Currently, Box Groups are a valuable tool for managing entitlements to folders, especially those containing highly sensitive content. Integrating Box Groups with IAM tools like SailPoint enables efficient access provisioning, access reviews, and adherence to FFIEC and other regulatory standards. By managing access through groups, we can ensure that all collaborators on sensitive folders are added via controlled group memberships. However, the existing "Group Admin" role grants broad permissions that are not always necessary or desirable for folder owners who simply need to manage group membership. Folder owners require the ability to add and remove members from a group to grant/revoke access to the sensitive information within their folders. Granting folder owners full "Group Admin" rights exposes the group to unintended modifications, such as changes to the group's folder associations, which compromises the integrity of the group's defined access scope. Maintaining a clear and consistent understanding of which groups have access to which folders is crucial for effective access reviews and overall security governance.
Proposed Solution:
We propose introducing a new role, tentatively named "Group Membership Admin," with the following limited capabilities:
• Add Members to a Group: This function would allow the designated user to add new members to a specific Box Group.
• Remove Members from a Group: This function would allow the designated user to remove existing members from a specific Box Group. This new role would explicitly exclude the ability to:
• Modify the group's name or description.
• Associate the group with new folders.
• Remove the group's association with existing folders.
• Delete the group.
• Change other group settings beyond membership.Benefits:
• Enhanced Security and Compliance: By limiting the scope of permissions, the "Group Membership Admin" role minimizes the risk of unintended changes to group configurations and ensures that access controls remain aligned with security policies and regulatory requirements.
• Improved Access Management: Folder owners can efficiently manage access to sensitive content by controlling group membership directly, without requiring intervention from IT or security administrators.
• Clearer Entitlement Definitions: Maintaining the integrity of group-to-folder associations ensures that access reviews are accurate and reliable, providing a clear understanding of who has access to what.
• Streamlined Workflows: Delegating group membership management to folder owners empowers them to respond quickly to changing access needs, improving overall operational efficiency. In conclusion, the introduction of a "Group Membership Admin" role would significantly enhance our ability to manage access to sensitive information within Box, improve compliance with regulatory requirements, and streamline access management workflows. We believe this feature enhancement is crucial for maintaining the integrity and security of our Box environment.

Enable Reliable Exports for Large amount of Content
When there’s a large amount of content, the folder and file report export gets canceled. Please make it possible to complete the export.
If exporting everything at once is difficult, splitting is fine—please allow selecting multiple folders and batching the export instructions.
10 votes -
Request for Hubs Version History Feature
Customer Pain Point & Concern:
Our customer is highly concerned about the risk of editors accidentally deleting or overwriting pages or sections within Hubs. Currently, there is no built-in version control or version history feature for Hubs (similar to what is available in Box Notes). As a workaround to prepare a backup plan, they are currently forced to take manual, regular backups by copying content, which has proven to be extremely tedious and inefficient.Requested Feature:
Version History for Hubs: A feature similar to Box Notes that allows users to view, restore, and revert to older versions of Hubs pages and sections.
This is a critical requirement for this large-scale customer to ensure secure content management and operational efficiency. We would highly appreciate it if this could be considered for the product roadmap.Thank you for your support!

Make Folder Auto-Delete Retry Past-Due Items
Please improve Folder Automatic Actions so that folders with a deletion date in the past are also included in later auto-delete runs.
Currently, if deletion fails on the scheduled date for any reason, the folder remains undeleted afterward.
Requested change:
configured deletion date = processing date
→ configured deletion date <= processing date
This would make auto-delete more reliable even when processing is missed due to maintenance or a temporary issue.【In Japanese】

3 votes -
AI in Hubs to query text/paragraph/hyperlinks
AI in Hubs to be able to query the text within a Hub builder and links. AI as is, only references the content, not information from the Hub (builder) itself

Default Search Everywhere
While I understand the need to search only in a folder, my company uses the search everywhere function way more.
Is there a way to make the search "everywhere" option the default instead of search "only in this folder"? It slows us down so much right now having to switch it to find a different folder without going back to the home page, or switching the search feature.

Box AI does not recognize text in image-based PDFs
Thank you for releasing Box AI for free.
I am currently using Box AI with the feature enabled. It successfully recognizes text in document PDFs and image files (PNG, JPG, etc.), but it does not recognize text in image-based PDFs.
When I take a screenshot of the content in an image PDF and save it as an image file (PNG, JPG, etc.), Box AI is able to recognize the text. This suggests that the issue may be related to the file format.
If Box AI could also recognize text within image-based PDFs, it would greatly improve usability. I would appreciate your consideration of this enhancement.

Display the count of all workflows from "Relay" in the management console
It is assumed that administrators will quantitatively understand the usage of Relay within their company and develop operational policies and improvement plans. To do this, it is necessary to check the quantitative indicator of how much Box Relay is being used across the entire tenant.
By confirming the total number of workflows and understanding Relay usage, you can strengthen the promotion of business process automation within the company.
9 votes -
Provide watch list for anomalous downloads
I would like shield to have a watch list of people they know are going to leave the company within the next 30 days. I want to be able to tell if someone on that list starts downloading a large number of files during that 30-day window so they can immediately cut off their access.

Ability for end users (non admins) to adjust metadata
As Box is evolving more into metadata driven workflows for digital asset library use cases, we need the ability for end users (non admins) to be able to adjust metadata templates specific to their use case or business unit. For example, we'd like to have a champion from Marketing be able to adjust JUST the metadata templates specific to their group, not any metadata templates related to Legal or Sales.

Display full file name on mouseover
We have very long file names where file prefix can be 40 characters the same. In Box Web GRID view it's impossible to differentiate between the files without opening them. In list list view it's almost as bad. The file naming is set by customer policy and we cannot affect that.
Add a mouse over popup for files to show the whole file name for Box Web.

Hub-level Terms of Service gate (per client portal) with auditable acceptance
Customers using Hubs as client/extranet portals need client-specific Terms of Service at the Hub level (not enterprise-wide). Many firms run multiple client portals, each with different legal terms, and they must be able to prove who accepted, when, and under what terms before granting access.
Requested capability:
Add a Hub/Portal-specific ToS “splash page” that requires users to Accept / Decline before viewing Hub content, with mandatory authentication and an audit trail.2 votes -
Custom Branding - Embeddable Box AI for Hubs
Please add custom branding options to the new Embed Hub / AI Chat Widget feature. Creating simple hub-grounded chatbots that can be embedded in intranet sites are powerful but for some customers require that they can control the branding like text and colors to stay within guidelines, for instance: instead of the default "Welcome to Box AI" text and logo.

Select multiple folders as the location filter for Views in Box Apps
I would like the ability to select multiple folders as the location filter for Views in Box Apps. For example, I may have a project folder with a metadata template cascading to all subfolders, but I only want to see content from 2 out of the 3 subfolders in the View.

Allow separate notification messages for task assignment and completion
Currently, when creating a general or approval task, the same notification message is sent both when the task is assigned and when it is completed.
As a result, recipients of the message can sometimes become confused.I would like the ability to set different notification messages for task assignment and task completion.

Ability to hide a Hub from personal view
I would like the option to hide specific Hubs from my view without leaving or losing access to them. This would allow me to declutter my Hub list and focus on the Hubs most relevant to my current work.
Use Case
- I have access to multiple Hubs but only actively use a few on a regular basis
- Some Hubs are for reference only or used infrequently
- My Hub list has become cluttered, making it harder to find the Hubs I need quickly
Proposed Functionality
- Add a "Hide from view" option for individual Hubs
- Hidden Hubs would not appear in my main Hub list
- Provide a way to access/view hidden Hubs (e.g., a "Show hidden Hubs" toggle or separate section)
- Allow users to unhide Hubs at any time
- Hiding should be user-specific and not affect other Hub members
Benefits
- Improved organization and productivity
- Cleaner, more focused workspace
- Maintains access without visual clutter
- User-controlled personalization
