Box Sign: Prevent automatic managed account creation for login-required external signers
Problem statement
When a Box Sign request is sent with Login Required, recipients without an existing Box account must create one before signing. If their email domain belongs to an enterprise with Auto Enrolment enabled, this results in a managed enterprise account being created even though the user only needs to sign a document.Requested enhancements
• Allow login-required signing without provisioning a managed Box account.
• Exempt Box Sign account creation from Auto Enrollment.
• Allow administrators to configure this behavior.This would be particularly valuable for enterprise-to-enterprise signing workflows where recipients are not intended to become Box users.

Request for AI Unit Usage Limits by User and Group
We would like the ability to control AI Unit consumption at both the user and group levels.
Currently, AI Unit usage can be difficult to manage across different departments and user types. We would like administrators to be able to:Set AI Unit usage limits for individual users

Receive alerts when usage approaches configured limits

Request for a Role That Can Manage Collaborators Without Access to Folder Settings
We would like to request an enhancement to Box's permission model.
Business Requirements
Our organization has the following requirements:Delegate collaborator management to designated power users.
Restrict folder configuration and administrative settings to the IT department only.Current Limitation

Implement XAA for Box GCP
Implement XAA for Boc GCP so users using their own private AI tools cannot link/authenticate them with their own Box Enterprise (work) instance.

Please review the reordering of menu items and consider using a pop-up display.
Because “Hide this folder,” “Share,” and “Update folder” are arranged vertically, users are more likely to click the wrong option during operation.
In particular, a user trying to select “Share” may accidentally click “Hide,” causing the folder to disappear from the list and making it difficult to tell whether the folder was deleted by mistake or merely hidden.
In addition, because no confirmation pop-up (reconfirmation message) is shown when “Hide” is clicked, there is insufficient protection to prevent accidental actions.3 votes -
Metadata Save and Cancel options on folders
I'd like to request to include the Save and Cancel option for Metadata on a folder.
Metadata (retention) templates are applied immediately upon selection on a folder. Because the interface does not feature a secondary "Cancel" or "Save" button, the policy takes effect the moment the template is chosen (=added), making any subsequent cancellation irrelevant to the already-applied configuration. This behavior does not occur when adding metadata to individual files.1 vote -
Rotate PDF files within Box Sign
There is currently a feature request that is labelled as on the roadmap to be able to rotate/zoom PDFs in Box Preview. We are requesting that this feature also be implemented in Box Sign as it is a pain to have to open PDF files in Acrobat to just rotate them, then save them, then upload to Box Sign.

Prevent LFO from occurring due to Box Relay
When running folder actions (copy/move/delete) in Relay workflows, if the source or destination folder contains a large volume of content, that folder may become subject to LFO, causing files to be locked and preventing other users from accessing them.
Therefore, when a user attempts to configure a flow with a folder that could be subject to LFO, we want to prevent unexpected LFO by clearly indicating on the flow creation screen that the workflow cannot be created due to LFO—for example, by displaying an error message or making the folder unselectable.

Add an Option to Hide Global IP Address in Box Sign Signature Logs
Currently, when using Box Sign to request a signature, the signature log that can be obtained after completion displays the global IP address of the requester.
In our company, the global IP address is treated as confidential information and is considered highly sensitive according to our internal policies. Therefore, having this information visible in the signature log, which can be accessed by the recipient, is a significant concern for us.

Automate Outcome Based on Metadata Field Change
We would like an Automate outcome based on a change to a metadata field that was assigned in a previous outcome. An example would be in an HR recruiting workflow when the Role Stage metadata field changes to BC Complete a Send Notification outcome fires notifying applicable teams, HR, IT, Manager, etc. to begin preparations for the new employee.
As it stands now, the only way we've found to do this is by assigning a task to the recruiter.

Enable Metadata Cascading and Autofill on Folders
It would be very helpful to have the ability to enable cascading and autofill on folders when a metadata template is added as an outcome. In our case, we create new folders for each new position requested and being able to automate the process of applying a metadata template to files added to the folder and then have the metadata populated would be save a lot of time and effort for our HR team.

Box Doc Gen Outcome Doesn't Keep Values
Using the Doc Gen outcome in Automate, we've found that when a change is made to a Doc Gen template, an update to the workflow outcome is required. This is expected behavior. However, performing that update causes all previously assigned field values to be cleared, requiring the user to manually reassign each one — even when the template change had no effect on any variable or field mapping.
We have several Doc Gen templates with more than 50 fields, and a few exceeding 70. Reassigning all values each time a minor change is made is not practical at scale. Until…1 vote -
Put all bullets, numbering, alignment , and highlight buttons on the toolbar
When using Box Notes it is very annoying to have to click an additional dropdown every time I need to add bullets/numbering or change text in my document. There are only 3 options for bullets and numbering and 4 for alignment; could we just put them all on the toolbar, at least when space allows? It's a really thick toolbar as-is; many ways to arrange it. But the extra clicks all the time is frustrating. Highlight should also be pulled out from text color, especially since it doesn't remember that you were working in the highlight section the next time…

Schedule Retention Policy Disposition Report
There are several common reporting capabilities which appear to be missing from Retention / Disposition reports:
Ability to name & save a report configuration for future re-use
Ability to schedule a report to be run regularly - Seems like a no-brainer for topics like disposition, which inherently continuously needs review as content falls out of retention
Ability to collaborate individuals on a report so that business stakeholders can review regularly scheduled reports without needing an admin

Allow Specification of Signer Assignment in Create Box Sign request API
When creating a Box Sign request currently, the user is limited to setting "isdocumentpreparationneeded": true if they want to assign people to specific fields. The API can be enhanced to allow the API caller to specify which signer is assigned to which field. I imagine it would be similar to the "prefilltags" feature of the API. You can specify which field you want to prefill based on the "documenttagid" (reference image below). It can be similar to this but instead you map the email of the person to the field they are assigned to.

Bulk grant and remove permissions to Box Hub.
When BoxHubs is managed by an administrator, it is necessary to be able to grant or revoke access permissions to BoxHubs in bulk in order to manage users who can access BoxHubs.
The current functionality requires granting access permissions to a large number of BoxHubs, which would be too time-consuming to do manually.

on copy/move, include filepath display
When moving/copying a file, it would be very helpful to show the filepath of a potential destination folder, IN the search window.
Our folder structure includes folders with similar names, or parts of a name or phrase. Without being able to see the filepath, we're more likely to choose the wrong one. Then the only way to go back is either navigate through the folder tree (too many clicks) or start the entire process over (repeats the search).
Additionally, move/copy search brings back results for individual files which are understandably unselectable. The problem is, there are often additional folder options…
