1. Improve external users admin page

   We're constantly adding and removing external users, and the list can get quite long. Unfortunately, the columns are not sortable - or expandable. This seems like an easy win!

2. Ability to customise the content of the notification emails

   Currently, Box does not offer the ability to customize the content of the notification emails sent when sharing a link or inviting a collaborator. The email notifications are standardized and cannot be modified to include additional instructions or guidance.

   We are seeing an increase in clients reporting difficulties accessing links and files shared via Box. To help mitigate this, we would like to include additional guidance within the notification emails sent to recipients at the point of sharing.

3. Persistent Encryption, encryption on the object (file itself), instead of just the container

   Looking for the ability for persistent encryption, on the object/file itself, instead of just the container. If a user download a file and puts it on a USB thump drive or emails it to another person, the file needs to remain encrypted.

4. capture history should be optional

   The Capture History should be optional to toggle on or off.
   We have a folder that relays the file to a secure location. We have onboarding iPads that we use to have people fill out their forms that contains sensitive information, and then they place that file in that folder. The onboarding team just realized that a copy of that file and any images/pdf's are being stored in a different folder.

   We want to keep our information secure, and this automatic feature isn't beneficial for our use of Box. We don't want to have to manually delete each copy.

5. Showcase thumbnail teams when a file is uploaded via Teams drag & drop

   Thumbnail previews in Microsoft Teams integration with Box are currently limited to items shared from Box (either through a shared link or the "Share from Box" content picker button), but not on the Upload from desktop functionality within Teams.
   When a file is uploaded via Teams (and a lot of our users use Drag & Drop) the thumbnail preview should be possible

6. Add Signature field to Box Forms

   It would be helpful to be able to include a signature field for a Box form submission. In cases where a user submits a purchase request form, we'd like to also show that they have signed/approved the information being passed (which is something we currently do when a user fills out the form and signs before submission to the procurement team). Being able to include a signature field in the form would save users multiple steps and closely approximate the experience of filling out a form and signing it.

7. ability to select a source folder and have the outcome automatically include all subfolders

   In Box Automate, I created a custom extract agent and selected a source folder. However, after reviewing the run history, I noticed that only the files in the top-level source folder are processed, while files in subfolders are ignored. I would like the ability to select a source folder and have the agent automatically include all subfolders within it or give you the option to include them.

   We currently have a couple scenarios where we would like to run extraction on existing files and folders in a parent folder retroactively, not just new uploads.

8. In my Salesforce Org we have Box managed package installed, some apex classes as part of package are using account and contact name fields

   Can we modify the apex classes to stop filtering by like operator

9. Custom Shared Link Control by User Type

   Admin ability to set global shared link settings by user type - such as no ability for a managed user to set a shared link to "anyone with the link" -- but admins and/or co-admins could set a shared link to be public (in the case of surfacing documentation externally). This could look like, under "Default access for shared links" setting in Admin Console, a new dropdown to allow for an override for co-admins or above, OR the ability to add specific users to an allowlist.

10. Make it more clear to a user when they invite a company domain that does not have a Box account

    Customers have mirrored their email groups (example would be a company-all-hands@company.com email list) to Box Groups. Their users typically type in the email address itself in order to attempt to collab the group onto content, but since the email address is not associated with a user, and we can't tie an email address to a Box Group, it sends a pending invite to that email address to create an account (which won't get created and doesn't work).

    The request: I suspect linking an email address to a Box Group is a non-starter from a product standpoint. Because of that, we came up with an ask to make it more apparent that when a user types in a company email into the share modal, it is more clear that they are inviting an email address with a company domain that is not associated with an existing Box account or group. If there could be more than just the 'External User' globe next to the email once you finish typing it in (like a popup message they need to click through) that would suffice for making it clear a user is inviting an email address without a Box account.

    It would be beneficial if there was a “music player” type feature of Box that would play through a folder with music / media tracks, as opposed to having to preview and play these one-by-one.

13. Enable longer retention policies (Specifically 150 yr policy option)

    At USAA life Insurance we have many documents that need a longer retention policy of 150yrs and the longest you have available is 50 yrs. We have 2 million documents that we cannot apply a policy to because of this issue.

    Authentication using security keys (passkeys/FIDO2) has been released. I think this is a very positive step forward.
    Currently, the process requires entering your Box ID and password, followed by inputting a physical key. It would be great if security keys alone could enable passwordless authentication.

    For SMS or Authenticator app authentication,
    requiring the sequence: ID input ⇒ OTP sent/entered ⇒ Box password input would also help counter dictionary-enhanced phishing (phishing aimed at understanding user password patterns, not necessarily targeting unauthorized Box logins).

    Additionally, using the Number Matching format for Authenticator app authentication offers higher phishing resistance and convenience compared to OTP. It would be preferable if this became available.
    OTP: Entering the 6-digit OTP displayed in the Authenticator app on the device you want to log in from.
    Number Matching: Entering the 2-digit number displayed on the device you want to log in from into the Authenticator app.

    When creating an Agent in AI Studio, it's not clear that permission is not automatically granted to the Agent creator. It would be helpful to add help text indicating that if an Agent creator needs access to that Agent, they should provide themselves permission alongside other users who are being granted access.

19. Per-Application Control for AI API

    【Current Behavior】
    The AI API setting in the Admin Console is currently a tenant-wide
    toggle (ON/OFF). Once enabled, all custom applications (both
    Server Authentication and OAuth 2.0 apps) under the enterprise
    can invoke AI API endpoints. There is no mechanism to permit or
    restrict AI API usage on a per-application basis.

    【Problem / Business Impact】
    Because AI API consumption is billable, administrators cannot
    selectively allow AI API access only for specific sanctioned
    applications while blocking others. This creates the following
    risks:

    1. Uncontrolled billing exposure: Any application with AI API scope enabled can trigger consumption that the administrator did not sanction, leading to unexpected charges.
    2. Blocked adoption: To avoid unintended billing, customers are forced to keep AI API disabled at the tenant level, which prevents legitimate, pre-approved applications from leveraging AI API capabilities.
    3. Lack of governance: Administrators have no way to audit or enforce which applications are permitted to consume AI API resources, conflicting with standard enterprise governance requirements.

    As a result, customers who want to pilot AI API with a limited
    scope, or who want to separate billable vs. non-billable
    application usage, cannot proceed.

    【Requested Feature】
    Introduce per-application control for AI API access. Specifically:

    • In the Admin Console (or Developer Console application management), allow administrators to explicitly allow or deny AI API access for each individual custom application.
    • The setting should override the tenant-wide toggle, or at minimum be evaluated in addition to it, so that administrators can maintain a default-deny posture while whitelisting specific applications.
    • Provide visibility (e.g., via Admin Console or reporting) into which applications are currently permitted to consume AI API.

20. Switch to Cloud File API for Drive to solve the Icons not showing issue

    Like many users I found that the status icons disappeared in Explorer after starting an addition cloud service on Windows 11. This issue is well documented here: https://support.box.com/hc/en-us/articles/360044195513-Icons-Do-Not-Appear-In-Box-Drive-or-Box-Sync-on-Windows

    I would like to suggest utilizing the newer "cloud files API" provided by Microsoft that is used by OneDrive to move the icons to a status category rather than icons on the file thumbnails/icons.
