1. combine more external and managed user reports

   We need a way to combine managed user and external user reports into one to get the same information (where applicable) for each user type. It is ridiculous that we have to create multiple reports and then combine them to create composite reports for our whole enterprise.

2. Restrict Document Download Before Signing Turn in Box Sign

   We would like to request an improvement to document access behavior in Box Sign when Recipients Order is enabled.

   Currently, recipients who are not yet in their designated signing turn can still download the document from the Box Sign Inbox dialog. This allows recipients to access the document before the signing workflow reaches their step. In addition, even when password protection is enabled, recipients are still able to download the document in the same way, which reduces the effectiveness of this control.

   In sequential signing workflows, some organizations expect document access to be restricted until a recipient’s signing step becomes active in order to prevent premature access to sensitive information.

   Request

   When Recipients Order is enabled, recipients should not be able to download or access the document until their signing step becomes active. The download option should be disabled or hidden for recipients whose signing turn has not yet begun, and the same restriction should apply even when password protection is enabled.

   This improvement would help prevent unintended early access to documents and strengthen workflow control in sequential signing processes.

3. Request for a Box AI Add-on for Desktop Applications

   Dear Box Support Team,

   I would like to submit a suggestion regarding the enhancement of Box AI functionality.
   I believe it would be highly beneficial to offer a Box AI add-on that can be used directly from desktop applications. For example, it would be extremely helpful if users could request Box AI—rather than Copilot—to analyze an Excel sheet that is currently open in the desktop version of Excel.

   In our company, many users primarily work with Box Drive, and as a result, adoption of Box AI—which is currently limited to the web interface—has been limited.
   If Box AI could be accessed seamlessly from desktop applications as well, I am confident that awareness and utilization of its capabilities would significantly increase.

5. Adding additional functionality to Forms, including tables.

   Adding more functionality to Forms to bring it up to par with other Forms solutions. Adding things like the ability to include tables, dividers and text that doesn't require an input, such as instructions. Also, APIs would be super useful.

7. We want to enable copy control settings for other tenants.

   We would like to request the addition of an extension feature to control copy operations between tenants. Currently, within User Activity Reports, the "Copy" entry does not provide information regarding the source file involved in the move or copy operation. Since this information is also unavailable via the API, we request that you implement a mechanism to make it identifiable.

8. Make the "Create New Collection" (+) button permanently visible

   I would like to request a UI change for My Collections. Currently, the "+" button to create a new collection only appears when hovering over the "Collections" section. I request that this button be made permanently visible.

   Reasoning:
   Based on our user behavior analysis using Pendo, we have found a strong correlation between My Collection usage and Box AI adoption. Users who utilize My Collections tend to become more proficient and active with Box AI.

   To improve the employee experience and drive Box AI usage, we want to provide in-app training using Pendo guides. However, because the "+" button is hidden behind a hover state, we cannot properly anchor Pendo guides or tooltips to it. This technical limitation prevents us from effectively onboarding our employees.

   Expected Outcome:
   By keeping the "+" button always visible, we can implement Pendo guides to guide users in creating collections. This will lead to higher proficiency and significantly increase the adoption of Box AI across our organization.

   I can select all the authorized Box AI Agents on almost any File Hub on Box.
   However, since Box AI Agents are often created for specific purposes, I would like them to be preset only in specific folders and File Hubs.

10. Change the word of the Reauthorize button for custom apps

    After changing the scope of a custom app that was created in the past from the Developer Console, the admin must re-authorize the app.
    After sending the authorization request, if you open the app details page from [Admin Console > Integrations > Platform Apps Manager > Target App], the scope before the change is displayed.
    We can check the scope after the change by clicking the Reauthorize button in the upper right corner of the screen and displaying the popup.
    After that, app approval is completed by clicking the Reauthorize button in the pop-up.

    However, the button on the app's details page says "Reauthorize," which leads admin to mistakenly believe that clicking the button will complete the app's authorize.
    Please change the display to something like "Confirm Details" instead of "Reauthorize" to avoid misunderstandings.

    I would like to request the addition of more sorting options for Managed Users in the Users & Groups console.

    Currently, sorting is limited to Name, Email, and Storage Used.

    It would be extremely helpful to include the following:

    1. Sort by Last Activity
       Enables identification of users who have never accessed Box or who are inactive.
       Helps admins determine which accounts can potentially be cleaned up or require follow‑up.

    2. Sort by Status
       Allows quick visibility into which users are disabled in Box.

12. Expandable metadata description fields

    When adding descriptions for metadata fields (for the purposes of prompting the AI for MDE), the input field is too small, and my customer cannot see the prompts to edit in the UI. Please allow those fields to be expandable (up to the max character limit) to improve the UX for my customer.

13. Initiating Box Sign Requests from AppUser Accounts or Specific Folders

    Currently, our firm does not allocate storage space to individual Box user accounts. Instead, we manage storage through AppUser accounts, structured around client matter–centric accounts and folders.

    During testing of Box Sign, we observed that sign requests are initiated from individual user accounts, resulting in the creation of a ‘My Signed Documents’ folder within each user’s storage. This approach necessitates allocating storage to individual user accounts for the saving of signed documents, which is inconsistent with our firm’s storage model.

    Would it be possible to enhance Box Sign so that the signing process can be initiated from a selected AppUser account or a specified matter–centric folder, rather than defaulting to an individual user account? This would allow signed documents to be stored in the relevant client matter workspace, aligning with our storage and information governance policies.

14. Box AI Describe Changes in File Versions

    It would be useful if Box AI was able to tell me what has changes between different versions of documents.

    For example, if my coworkers were updating a report or presentation while I was out of the office, it would be great if I could ask Box AI what changes have happened in the past x-number of days to the document to quickly bring me up to speed.

    There are times when a specific AI provider has outages or inconsistencies in service, leading to degraded Box AI Agent performance. It would be good to be able to specify a fallback model in the event of elevated errors to ensure the agent continues to function.

17. Users should know what they are exposing outside

    Is it possible to have a simple page accessible by a user, to get :
    - all the shared links he has created (especially open links accessible by anyone outside, with or without password and expirity date)
    - and old outside collaborations (with Box accounts needed)
    ?

    A lot of users create collaboration and shared links, and many months or years later they don't remember that these parameters are still in place (even if they don't work anymore with those external users).
    It is a breach of security, exposing data outside of our company without knowing it (unless we dig in Box reports which takes a long time for admins, and does not inform and responsibilize users).

    It is helpful to be able to perform a tenant-wide search where only the content name, or part of it, is known. In the old Content Manager UI, searching by content name without any additional filters yielded much better results than the new Content Manager UI. In the previous UI, a folder or file with the most keywords matching would surface to the top of the results list. In the new UI, even if the content does exist somewhere, without using additional filters to narrow the search, often times irrelevant content is surfaced. Even selecting simple things, like whether it's a file or a folder, or the type of file it is, does not improve the relevance of the results. The added filters in the new UI are very helpful when you know where you're looking for something (ex: what user owns it), but not so helpful for a broad search.

19. Add collaborators as viewers/uploaders

    I have created a workflow to apply to files that need signatures and approvals. If all I needed was approvals, automatically adding the assignees as viewers is fine. I need signatures as well so it would be nice to choose to add the assignees automatically as viewers/uploaders so they can also sign the document.

20. Unmanaged User feature should be more prominent (UX tweak)

    It would be helpful if the Unmanaged Users management feature was more prominent. when trying to add a new managed user, if a matching unmanaged user already exists, an error is displayed and no other information given. I had to fumble to figure out why, partly because the feature isn't obvious. Suggestion: change the External Users tab name to External & Unmanaged Users, and add an Unmanaged Users button next to External users. Or, simply display them all but with the unmanaged users highlighted somehow. It is non-intuitive partly because external is interpreted as 'non-company domain'. So there wasn't the presumption that unmanaged users would be found under the external users tab.
