1. Enable 2FA renewal requirement options for external collaborators

   Background:
   2FA for external collaborators does not require a re-2FA. The only way an external person will have to re-2FA is if they switch browsers or clear cache/history. I have an external user that set up 2FA in November of 2021 that hasn’t had to re-2FA to our box environment since. It has been so long that she didn’t even remember setting it up (it is Aug ’22 now). The current box 2FA implementation effectively moves the security away from box and on to the end user’s device / environment. Being external partners, we have no insight into how secure this is.

   The request:
   Within the 2-Step Login Verification Edit menu, add an expiration option. Some obvious choices being Daily, Weekly, Monthly. Ideally, I’d be able to set it by specific domains or users but even a global setting would be better than today’s configuration of never for everyone.

2. Identify which files and folders a user owns within a shared Teams folder, that are not shared or collaborated with others

   We encountered a situation where certain files inside a shared drive were only visible to one user, while others couldn’t access them. This caused confusion because the files appeared to be part of the shared structure but were effectively private. A feature that highlights or filters these user-owned, non-shared items would help prevent misunderstandings and improve transparency.

3. Grid View - Bring Back The Slider (adjusts the image size previews in Grid View)

   Recent changes to the Grid View noted here, https://support.box.com/hc/en-us/articles/10117683547539-List-view-and-grid-view-enhancements, have removed a key feature that had become part of my companies workflows.

   Prior to this update, the Grid View had an slider next to the button we use to toggle between the Grid and List views. Today, that slider is gone.

   Now the ONLY way to view the Grid is as thumbnails. My company of 500+ uses Box daily and a BIG part of our workflows relies on this feature. We never imagined this would be removed and it is causing us to discuss alternative options. We are an enterprise client with an unhealthy dependency for the feature at this point.

   I keep asking myself, "why was this changed" trying to understand the underlying libraries that may have changed, and I cannot thing up a solid explanation other than this was a design mistake.

   After reaching out to the support team on Twitter they suggested I write about our use-case here. They said this change was made to make the Web App more responsive between different screen types, and that images will change size based on the screen size.

   I can confirm the image sizes DO NOT CHANGE based on the screen size. What does change are how many items are included on each row in the Grid based on the screen size.

   From a front-end design perspective there was NO need to remove the slider...Because if you are wanting the images to change size based on the screen you can simply tell React or w/e front end library you are using to default to the users preference for the slider. If the slider is changed from the Box standard, and the selection is NOT full size, respond. Otherwise the responsiveness isn't even needed.

   From a user POV I can tell you straight away that this design "Update" is not making Box better and in our case if this doesn't revert back to how it was previously we are going to have to look into other platforms. (Never imagined I would be writing that last line because WE LOVE BOX!).

5. Remove multiple collaborators from folders

   Box currently does not have a way to remove multiple collaborators at bulk.
   Currently, admin needs to manually remove multiple users by opening the appropriate folder and removing users one at a time.

   Suggestion can also apply to removing collaborators from multiple folders.

   Due to other higher priority items, this has been deprioritized.

6. Moved to trash report

   We would like to run a report for a user and understand who deleted their content. Currently you will need to run this for the whole enterprise with the option moved to trash, and the results will only show who deleted the content and not who owns that content.

   The only work around at moment is to pivot table with files and folders report of the owner they are looking to run the report on.

7. Warn users that annotations will not be added to a Word document as comments

   Since Annotations do not get added to Word documents as comments, a warning should be presented to users stating this to avoid any confusion by the user who may be expecting this to happen.

8. Exports users doesn't reflect the latest users

   We're using the list of users which we can export from 'Export Users' button in Users and Groups menu to verify if the user provisioning tool is working correctly on the daily basis.

   Although I heard from Box that Box reports are being migrated to new data platform to improve the performance, this new Export Users report doesn't reflect the latest users. Maybe this new one reports the user list as of roughly half a day ago, so we can't our daily verification task correctly...

   I think user list should reflect the latest status so I want Box to fix this issue as soon as possible.

9. Tags

   I'd like to see Box further realize and exploit the power of tags. From what I have seen, Box has only utilized the tip of the iceberg when it comes to tags. Below is a list of capabilities that would be amazing to use!

   • Tag Viewer: a place to manage, rename, delete tags, and more.
   • Tags appear and clickable in search results
   • Ability to tag document in editor

10. Users and Groups - Move "More Options" [...] Menu to Left-Hand Side of Page

    Admins regularly take repeated actions in the Users and Groups tab of the Admin Console - specifically Log in as User, and Add User to Groups. If the menu could be close to the user's name, this would make manual processing much easier for admins.

11. Better reporting / auditing of folders marked for offline use

    Have better audit trails around the 'marked for offline use' feature. Be able to generate reports such as all the folders marked for offline use for a user and when they were marked for off line use (or 'umarked').

12. Make Box Drive Mark for Offline (MFO) file accessible when Box Drive not running

    Would like for files in Box Drive that are marked for offline (MFO) to be accessible whether or not Box Drive is currently running (e.g. before Box Drive starts up at login). Currently, offline files are only available after the Box Drive software has loaded -- this poses a problem for files that need to be available at user login time like the user profile files (Desktop/Documents/etc.). Box Sync worked fine for this purpose, but Box Drive MFO does not.

    Box Drive needs to be run in order to access any of the content or features of the product.

13. Box Drive: Change cache location

    It would be really awesome to allow the box drive cache location to be placed somewhere other than C:\Users<USERNAME>\AppData\Local\Box\Box\cache, say on on a separate volume that doesn't consume space on C: (boot / application drive). Ideally I would like to place it on my second ssd D:

14. Allow Excel's Shared Workbook feature to work on Box.

    Microsoft Excel has a feature called Shared Workbook that allows multiple users to edit Excel file simultaneously and still migrate each modifications into each others' Excel files.

    While we won’t be building in support for the Shared Workbook feature as requested, we will be providing capabilities in the near-future that will provide more visibility when you open a file that is locked in order to prevent file editing conflicts.

16. I would like Box Sign to have more flexible permission settings.

    When Box Sign is enabled for a user, he/she can send sign requests, check the contents of requests shared with them, and view their inbox.
    However, there are users for whom I do not want to allow sending sign requests, but I do want them to be able to check their inbox.

    For example, our executives who frequently approve or sign documents in Box Sign but do not need to send signature requests by themselves.
    I believe it is a potential security risk to give users the authority to send signature requests even though they do not need it.

    Currently, Box Sign does not have a function to control external Sign sending. It would be great if we could have more granular control, such as allowing users to view the Sign inbox but not send requests.

    After signing, users can download and review the signed document and signature log via the sign completion email.
    But searching through the email inbox for them is inconvenient, so I would like to be able to complete everything within Box. So want to allow users to check the past signed document in Box via inbox of Box sign.

    I understand that with Shield access policies it is possible to restrict Box Sign request sending both internally and externally. However, since Box Sign may also be used for internal approval processes, I think making it completely impossible to send is too much.

18. Inactive users are not listed when managing groups

    When in the Admin Console and viewing groups, if I go to edit the membership list of a group, the list does not appear to display inactive users, but if I search for a user in the group it will display the user. However, if viewing the members of a group through the normal interface, it will display all members, even inactive ones.

    This is potentially confusing as it means that the list of members a group admin would see will be different, and if they want to remove someone, they will not be able to just browse the list but will have to actually search for the user to remove.

    Thank you for the feedback! IMO, we should not display inactive users in the groups as the group should keep a membership of all the active users. Thanks!

19. Box Drive path for InDesign linked files

    Background:
    We’ve moved the location of Box Drive to be outside the username location for our users. This allows for multiple users to work with InDesign , collaborate, and reference the correct asset links without issue. Reference – community.box.com/t5/Deploying-Managing-Box..

    Issue:
    However, if a user hasn’t previously viewed the file in BOX Drive (e.g. ‘downloaded it to force a local sync’) then the linking of the file still breaks. This causes the following issues : when the user opens an InDesign file, they still need to navigate to anywhere from 5 – 50 different file locations in BOX Drive to ‘open/sync/download’ the file so that BOX has it in the local sync to load into InDesign.

    Request:
    Instead of having to mark multiple folders, sometimes even hundreds of folder for those in the design business, for offline use, we want a way for that when the file is opened it ‘downloads/syncs’ the files behind the scenes automatically.

    Background:

    We will not be supporting custom colors for folders. We’re investigating having visual indicators for certain classifications.
