  1. Add Folder for New User

When creating a new user, we would like the ability for the admin to create a dedicated folder for said user within the new Admin Console UI.

Currently this feature exists within the original UI.

  2. Shield Suspicious Location User-Level Exclusion

Allow for user level exclusion for suspicious location alerts. This is helpful in the event that users are traveling across locations and various IP addresses.

  3. Admin Console - User File Search - Results Download

Admin Console - Content - User File Search - Results Download enhancement

Allow administrators the ability to download the full user file search from Admin Console -> Content section. The results output would contain all fields present on the current search results page. The output would be in CSV format.

This feature would be useful for eDiscovery purposes.

  6. Granular permissions per user for sharing public links/classified documents

The administrator should be able to set the default classification for all new documents (e.g. For Official Use).

Each user should be able to set their own default classification (which will override the system setting (e.g. Classified).

Each user should be able to change the classification for any new or existing document where she has sufficient rights. For existing documents, she should also be able to select multiple documents, and then change the classification for all those documents in one go.

Default classification label is not planned because it could be misleading to end users. However, to address the concern of content being leaked before it is classified, you can create an access policy applying to “All content without a classification label” in Box Shield.

  7. Enhance user experience for searching files with tag

As legal department, we manage contract documents using tag but when we search files filtering with them, user experience is not intuitive when I follow steps described below.

    1. search a keyword filtering with tag
    2. change the keyword on search box
    3. filter for tag set in 1 is reset and disappeared

Also, we would like to search file filtering with tag without any keywords in the search box as populating keyword is currently a must to start to search unlike Metadata, which is also inconvenient.

  8. Report on installed Box Drive versions by user

Need a report admins can run that will show all users who have ever used Drive and what the last version of Drive they last used was. Ideally there is a Device ID or Device Name as well.

Use Case - Often admins do not have a device management system which would be used to run this report. Without that system in place OR without all devices being managed under it, admins have no visibility into what software is installed on their unmanaged users machines. Box won't be able to tell them all users who have it…

  9. Adjust "arrow" to forward to next document when viewing a document it conflicts with the scroll bar when viewing an existing document

The arrow that you click to forward to the next document overlaps the scroll bar for the existing document. This impacts the ability to scroll up and down on the existing document. Please adjust the placement so the arrow doesn't overlap the scroll bar.

  10. Send a "here's how your items are shared" report to each user periodically

One of the most common sources of security breaches is due to a user inadvertently sharing an item more broadly or for longer than they intended.

A simple way to help limit those sorts of security breaches would be for Box to email every user a report periodically (configurable by the admin, but roughly monthly) that said "Here's how everything you own is shared with other people, and here's a link to the KB article that'll tell you how to fix it if it's not what you want", then showed a report of their folders, files, and shared links, with…

  11. MFA Excluded User List Needed

MFA Excluded User List Needed - if a user has to switch MFA devices, as of now the Admin would need to globally turn MFA off for everyone, also an admin might need to setup a box account and login as a user (say using lastpass) before the hire date, thus they need to be on an exclusion list until they start, additionally automated processes might need a login that would be excluded from MFA needs direclty within box, thus the requirement for an exclusion list for MFA that is freely adjustable.

    1. We will soon have the ability to download back up codes that can be used in case you don't have access to your MFA device.
    2. Certain Box plans have the ability to exempt specific users from MFA.
    3. We do have this exclusion list for external users.

Given these, we don't have plans to add an exclusion list for managed user MFA at this point.

  12. Not all user settings can be controlled via our APIs.

Some user settings are missing from our APIs
eg: acknowledge collab invite, user avatar, mail notifications etc

  13. Whitelisting Access Using Managed User Groups

Companies frequently hire contractors and provide them with company email addresses to access internal networks and applications. This creates an issue with contractors having visibility into an entire folders and not just the projects/folders that apply to them. Shield's whitelisting capabilities allow us to limit external email domains, but because contractors are given a company email domain the whitelisting capabilities do not apply.

We would like to be able to create a "Consultants" Managed User Group and whitelist access to break waterfall permission for internal Managed User Groups.

  15. Allow user to search or filter within Feed for users, etc

Be able to filter for a specific user or content in Feed. If I'm in Feed and know a co-worker updated a file in the last day or so I want to be able to specify that user (or maybe other search criteria) and just filter on that user. Or, when a user feed is there, be able to click on that user to see all her activity (right now it pulls up a profile).

  16. Collaborations Report: Add User Filter (same as Usage Logs)

Add ability to filter (like on Usage Logs) before running the report to avoid having to pull the report for all users (which takes quite a while as we know), then filter down in Excel.

    Two Key Filter-able Options:
    --Filter by Managed User
--Filter by Folder by choosing user -> choose folder OR by searching for folder name

The Collaborations report is basically unusable as a large company due to the size of the report that's generated -- it's not scalable for us to have to pull the report for all users and filter down in Excel.

  17. Flexible Retention Policies including ability to override existing policies if necessary

The inflexibility of current retention policies does not allow customers to meet all of their legal obligations. Currently, if a retention policy is placed on a document, it is not possible to permanently delete the document before the retention period is completed.

While these retention policies settings may work (and are required) for FINRA compliance, they cannot be used for all use cases. For example, if an organization reaches a legal settlement, and part of the settlement is the destruction of certain content (either one user's content or content specific to the case), this request cannot be completed.

Introducing modifiable retention policies in Box Governance!

Box Governance allows organizations to manage their content’s lifecycle by powering business processes with flexible retention schedules, preserving content for defensible discovery, and managing the disposition of content. From the start we built Box Governance for highly regulated industries and our existing retention policy type was intentionally designed to be non-modifiable. As Box has grown, we have seen the need to expand our retention policies and are excited to announce Box Governance now has two types of retention policies - modifiable and non-modifiable.

Modifiable retention policies will provide flexibility as external regulatory environments or internal governance policies change. Modifiable retention policies allow customers to implement retention policies with the ability to modify them later. This will allow for both the creation and modification of policies, including shortening of retention policies, as well as making policy changes retroactively to content already under retention. For…

  18. ADD LOCKED FOLDERS LIST IN THE USER ACTIVITY REPORT

Currently we have no way to look up which holders are locked via FolderLockAPI.
To avoid any trouble not knowing who has been locked,
we'd like to request to add the locked folders list in the user activity report.

    FolderLockAPIを利用してLockされているフォルダの一覧をレポートに出したい:
    FolderLockAPIを利用してLockしたフォルダーについて、
    どのフォルダーがロックされているかがわからなくなるなどのトラブルを防ぐために、

  19. Merge Users - Ability to Merge 2 or More Accounts Into 1

A 'merge users' feature would help with the initial administrative burden of cleaning up existing accounts.

    Key asks:
--The ability to choose 2 or more Managed Users in Box to merge
--The ability to choose which email becomes the primary email for the user (thus which account will become the owner of the other account's owned content)
--The ability to choose whether demoted emails should be retained as email aliases or simply removed from the user's (updated) profile
--The ability to choose whether existing collaborations on externally-owned folders are retained (meaning account 2 is invited into an…

We are currently re-designing our managed users page for performance and usability updates which will be released at the end of this year. We will revisit newer features to user management after we release our new UI. In the meantime, please add your use cases in the comments so we can have this feedback when we decide to pick this up.

  20. Group - Allow the deletion of a list of user

Group Management - Allow the deletion of a list of user.
And do not search user one by one in the group, then click one by one on Remove button and then save ...
When you have hundred users to remove in a group with thousand users, it is boring and time consuming...
To add a group we can add several users at the same time, it is better !
