1. I'd like the trash bin status to be reverted to the previous specification.

   Regarding the BOX trash bin, since around August 12, 2025, all files appear to have the "10 years" policy applied to the trash bin, so I would like you to restore it to the previous state.

3. Limit the amount of data a user can delete

   There have been repeated incidents where users accidentally delete large amounts of data from Box Drive. Each time, administrators are required to restore the data.
   However, administrators cannot restore the data until the deletion process is fully completed, and even then, the restoration takes as much time as the deletion, which disrupts business operations.

   We would like to set an upper limit on the amount of data that users (other than Box administrators and co-administrators) can delete at one time, in order to prevent users from accidentally deleting large amounts of data.

   A new shortcut for Box AI for Box Notes has been released to display the AI prompt field when you enter a space at the beginning of a line in Box Notes.

5. I would like to be able to customzie the content preview window side bar

   Once Box AI is enabled it takes the top spot as the default sidebar view in the content preview window. Some of my users would like the Activity Tab to load first, as they depend on seeing comments. Being able to customize the sidebar icons would be great

7. I want to open Box Notes in view-only mode

   Currently, in Box Notes, it is possible to switch to view-only mode by changing "/notes/" in the URL to "/file/", but this method is not intuitive for users.

   Because it is not easy to open notes in view-only mode, users often accidentally edit the notes. We would like to prevent this from happening.

   We would like an option to select view-only mode when opening Box Notes from the beginning. It would also be more convenient if it were possible to bookmark Box Notes in view-only mode.

8. Allow scheduling of Folder Insights Reports

   The ability to schedule the Folder Insights reports (Collaborations | Folder Activity | Shared Links) would open up greater reporting capability and remove manual work in generating these reports.

   This is especially beneficial in enterprises where multiple agencies' content is stored, with different agencies having different reporting requirements (i.e. weekly auditing of external collaborators on their content)

9. Exclude Specific Content from Box AI

   As a law firm we need to segregate certain client data from the ability to use Box AI due to legal agreements in place with their clients to not be able to use AI on their data. Currently we would need to turn off Box AI on the whole account in order to achieve this requirement, which is not ideal.

11. Enhancement of the content sorting feature in Hub

    Currently, when placing multiple pieces of content in Hub, you can manually change their order, but it would be more convenient if sorting could be made easier.

13. Enable a Group Membership Admin role, which allows add/remove members of a Box group, without enabling modifications to the group.

    Dear Box Product Owner,
    This request proposes a new "Group Membership Admin" role within Box Groups to improve access control management, particularly for folders containing sensitive information, and to streamline compliance with regulatory requirements.

    Problem:
    Currently, Box Groups are a valuable tool for managing entitlements to folders, especially those containing highly sensitive content. Integrating Box Groups with IAM tools like SailPoint enables efficient access provisioning, access reviews, and adherence to FFIEC and other regulatory standards. By managing access through groups, we can ensure that all collaborators on sensitive folders are added via controlled group memberships.

    However, the existing "Group Admin" role grants broad permissions that are not always necessary or desirable for folder owners who simply need to manage group membership. Folder owners require the ability to add and remove members from a group to grant/revoke access to the sensitive information within their folders. Granting folder owners full "Group Admin" rights exposes the group to unintended modifications, such as changes to the group's folder associations, which compromises the integrity of the group's defined access scope. Maintaining a clear and consistent understanding of which groups have access to which folders is crucial for effective access reviews and overall security governance.

    Proposed Solution:
    We propose introducing a new role, tentatively named "Group Membership Admin," with the following limited capabilities:
    • Add Members to a Group: This function would allow the designated user to add new members to a specific Box Group.
    • Remove Members from a Group: This function would allow the designated user to remove existing members from a specific Box Group.

    This new role would explicitly exclude the ability to:
    • Modify the group's name or description.
    • Associate the group with new folders.
    • Remove the group's association with existing folders.
    • Delete the group.
    • Change other group settings beyond membership.

    Benefits:
    • Enhanced Security and Compliance: By limiting the scope of permissions, the "Group Membership Admin" role minimizes the risk of unintended changes to group configurations and ensures that access controls remain aligned with security policies and regulatory requirements.
    • Improved Access Management: Folder owners can efficiently manage access to sensitive content by controlling group membership directly, without requiring intervention from IT or security administrators.
    • Clearer Entitlement Definitions: Maintaining the integrity of group-to-folder associations ensures that access reviews are accurate and reliable, providing a clear understanding of who has access to what.
    • Streamlined Workflows: Delegating group membership management to folder owners empowers them to respond quickly to changing access needs, improving overall operational efficiency.

14. Tansfer Form Ownership

    I would like the ability to transfer forms to other users. Reasons below:

    1. If employees are going on extended leave or parental leave and someone else is in charge of managing these forms.

    2. If initial set up is completed by an admin but then continually managed by another team.

    I am told form ownership transferring will be available only on deletion of a user account in a future release but would like it to not be reliant on the deletion of a user.

15. Enable Reliable Exports for Large amount of Content

    When there’s a large amount of content, the folder and file report export gets canceled. Please make it possible to complete the export.

    If exporting everything at once is difficult, splitting is fine—please allow selecting multiple folders and batching the export instructions.

    When a large number of metadata fields are captured via Forms, mapping each variable to metadata fields within the workflow becomes time-consuming and complex.

    It would be highly beneficial to support applying metadata to files using a “Form Metadata Template,” similar to Relay, to simplify workflow creation.

17. Default Search Everywhere

    While I understand the need to search only in a folder, my company uses the search everywhere function way more.

    Is there a way to make the search "everywhere" option the default instead of search "only in this folder"? It slows us down so much right now having to switch it to find a different folder without going back to the home page, or switching the search feature.

18. Box AI does not recognize text in image-based PDFs

    Thank you for releasing Box AI for free.

    I am currently using Box AI with the feature enabled. It successfully recognizes text in document PDFs and image files (PNG, JPG, etc.), but it does not recognize text in image-based PDFs.

    When I take a screenshot of the content in an image PDF and save it as an image file (PNG, JPG, etc.), Box AI is able to recognize the text. This suggests that the issue may be related to the file format.

    If Box AI could also recognize text within image-based PDFs, it would greatly improve usability. I would appreciate your consideration of this enhancement.
