1. I want to open Box Notes in view-only mode

   Currently, in Box Notes, it is possible to switch to view-only mode by changing "/notes/" in the URL to "/file/", but this method is not intuitive for users.

   Because it is not easy to open notes in view-only mode, users often accidentally edit the notes. We would like to prevent this from happening.

   We would like an option to select view-only mode when opening Box Notes from the beginning. It would also be more convenient if it were possible to bookmark Box Notes in view-only mode.

2. Allow scheduling of Folder Insights Reports

   The ability to schedule the Folder Insights reports (Collaborations | Folder Activity | Shared Links) would open up greater reporting capability and remove manual work in generating these reports.

   This is especially beneficial in enterprises where multiple agencies' content is stored, with different agencies having different reporting requirements (i.e. weekly auditing of external collaborators on their content)

4. I would like to be able to customzie the content preview window side bar

   Once Box AI is enabled it takes the top spot as the default sidebar view in the content preview window. Some of my users would like the Activity Tab to load first, as they depend on seeing comments. Being able to customize the sidebar icons would be great

5. Enhancement of the content sorting feature in Hub

   Currently, when placing multiple pieces of content in Hub, you can manually change their order, but it would be more convenient if sorting could be made easier.

   We would like to be able to sort multiple pieces of content placed in Hub all at once, in ascending or descending order, by size, file name, update date, etc.

7. Exclude Specific Content from Box AI

   As a law firm we need to segregate certain client data from the ability to use Box AI due to legal agreements in place with their clients to not be able to use AI on their data. Currently we would need to turn off Box AI on the whole account in order to achieve this requirement, which is not ideal.

8. Enable a Group Membership Admin role, which allows add/remove members of a Box group, without enabling modifications to the group.

   Dear Box Product Owner,
   This request proposes a new "Group Membership Admin" role within Box Groups to improve access control management, particularly for folders containing sensitive information, and to streamline compliance with regulatory requirements.

   Problem:
   Currently, Box Groups are a valuable tool for managing entitlements to folders, especially those containing highly sensitive content. Integrating Box Groups with IAM tools like SailPoint enables efficient access provisioning, access reviews, and adherence to FFIEC and other regulatory standards. By managing access through groups, we can ensure that all collaborators on sensitive folders are added via controlled group memberships.

   However, the existing "Group Admin" role grants broad permissions that are not always necessary or desirable for folder owners who simply need to manage group membership. Folder owners require the ability to add and remove members from a group to grant/revoke access to the sensitive information within their folders. Granting folder owners full "Group Admin" rights exposes the group to unintended modifications, such as changes to the group's folder associations, which compromises the integrity of the group's defined access scope. Maintaining a clear and consistent understanding of which groups have access to which folders is crucial for effective access reviews and overall security governance.

   Proposed Solution:
   We propose introducing a new role, tentatively named "Group Membership Admin," with the following limited capabilities:
   • Add Members to a Group: This function would allow the designated user to add new members to a specific Box Group.
   • Remove Members from a Group: This function would allow the designated user to remove existing members from a specific Box Group.

   This new role would explicitly exclude the ability to:
   • Modify the group's name or description.
   • Associate the group with new folders.
   • Remove the group's association with existing folders.
   • Delete the group.
   • Change other group settings beyond membership.

   Benefits:
   • Enhanced Security and Compliance: By limiting the scope of permissions, the "Group Membership Admin" role minimizes the risk of unintended changes to group configurations and ensures that access controls remain aligned with security policies and regulatory requirements.
   • Improved Access Management: Folder owners can efficiently manage access to sensitive content by controlling group membership directly, without requiring intervention from IT or security administrators.
   • Clearer Entitlement Definitions: Maintaining the integrity of group-to-folder associations ensures that access reviews are accurate and reliable, providing a clear understanding of who has access to what.
   • Streamlined Workflows: Delegating group membership management to folder owners empowers them to respond quickly to changing access needs, improving overall operational efficiency.

   In conclusion, the introduction of a "Group Membership Admin" role would significantly enhance our ability to manage access to sensitive information within Box, improve compliance with regulatory requirements, and streamline access management workflows. We believe this feature enhancement is crucial for maintaining the integrity and security of our Box environment.

9. Enable Reliable Exports for Large amount of Content

   When there’s a large amount of content, the folder and file report export gets canceled. Please make it possible to complete the export.

   If exporting everything at once is difficult, splitting is fine—please allow selecting multiple folders and batching the export instructions.

10. Default Search Everywhere

    While I understand the need to search only in a folder, my company uses the search everywhere function way more.

    Is there a way to make the search "everywhere" option the default instead of search "only in this folder"? It slows us down so much right now having to switch it to find a different folder without going back to the home page, or switching the search feature.

11. Box AI does not recognize text in image-based PDFs

    Thank you for releasing Box AI for free.

    I am currently using Box AI with the feature enabled. It successfully recognizes text in document PDFs and image files (PNG, JPG, etc.), but it does not recognize text in image-based PDFs.

    When I take a screenshot of the content in an image PDF and save it as an image file (PNG, JPG, etc.), Box AI is able to recognize the text. This suggests that the issue may be related to the file format.

    If Box AI could also recognize text within image-based PDFs, it would greatly improve usability. I would appreciate your consideration of this enhancement.

12. Box Forms – Add internal-only / scoped access controls for Form links (security & compliance)

    Customers need the ability to restrict Box Form links to internal, authenticated users (and ideally specific users/groups), instead of only “anyone with the link.” Current behavior conflicts with stricter security postures and makes Forms hard to adopt for internal project and regulated use cases.

    Background / Use Case
    Customer is using Box Relay + Box Forms as part of internal project workflows:

    Workflow trigger: Form submission (Relay)

    Outcome: e.g., DocGen or other internal automation

    They want to present Forms to internal project teams only and treat them as an internal front end to Box workflows.

    Today, the Form sharing model exposes a shared link that can be configured at admin level to allow “anyone with the link” or require a Box login, but there is no way to scope the Form link to:

    “People in your company” only, or

    A specific set of users / groups, similar to folder and file sharing.

14. Allow separate notification messages for task assignment and completion

    Currently, when creating a general or approval task, the same notification message is sent both when the task is assigned and when it is completed.
    As a result, recipients of the message can sometimes become confused.

15. Ability to hide a Hub from personal view

    I would like the option to hide specific Hubs from my view without leaving or losing access to them. This would allow me to declutter my Hub list and focus on the Hubs most relevant to my current work.

    Use Case

    • I have access to multiple Hubs but only actively use a few on a regular basis
    • Some Hubs are for reference only or used infrequently
    • My Hub list has become cluttered, making it harder to find the Hubs I need quickly

    Proposed Functionality

    • Add a "Hide from view" option for individual Hubs
    • Hidden Hubs would not appear in my main Hub list
    • Provide a way to access/view hidden Hubs (e.g., a "Show hidden Hubs" toggle or separate section)
    • Allow users to unhide Hubs at any time
    • Hiding should be user-specific and not affect other Hub members

    • Cleaner, more focused workspace

16. Automatic Box Canvas Creation Based on Instructions to Box AI

    Currently, Box Canvas provides templates, but users still need to create the content themselves each time, which can be burdensome.

    To further reduce user workload, I would like to request a feature that allows Box AI to automatically generate a Box Canvas output based on user instructions.

17. Tansfer Form Ownership

    I would like the ability to transfer forms to other users. Reasons below:

    1. If employees are going on extended leave or parental leave and someone else is in charge of managing these forms.

    2. If initial set up is completed by an admin but then continually managed by another team.

    I am told form ownership transferring will be available only on deletion of a user account in a future release but would like it to not be reliant on the deletion of a user.

19. Adding AI activities to the User Activity Report

    Box AI reporting is currently only available to tenants on the Enterprise Plus plan.
    Box AI is now available to tenants with the business plan or above, but since operation logs cannot be confirmed from reports, auditing is not possible, making it unusable for businesses and posing a fatal security flaw.
    In order to use and utilize Box AI, please make sure that AI activities are output regardless of your plan.

20. Export transparent images using Box Canvas

    When exporting Box Canvas as an image, I want to be able to make the background transparent.
    Currently, when exporting Box Canvas as an image, the background appears white. Since there are cases where it's more convenient to have no background color when pasting into another medium, I would like the option to export only the elements drawn on the Box Canvas as an image, with the background set to transparent.
