2. Improve the de-provisioning process in Box

   Improve the de-provisioning process in Box so that old content isn't stored when it's not needed, and if it is needed, the right people are taking over ownership of the content. Workflow should look something like this: -User leaves company and is removed from AD group or marked somehow as "removed" -Collaborators on their shared folders are notified that they should take ownership of the folders, if the content is still needed. For example "you have 30 days to take ownership of X folder." -When they click to take ownership, the folder/file is now owned by them and other collaborators remain intact. -If no response, two more warnings are sent to users at the 15 days left mark and the 7 days left mark (their managers are also informed via notifications). -If no users claim the folder, it is deleted along with the account.

3. Document metadata processing and visualization for decision making in large organizations

   Example: Financial organization such as a bank, needs to process a new loan. They will need to process income verification, identity verification, and other documents. The bank representative receiving this information must validate these documents, so the metadata pulled from these documents should be easily exported into a friendly format, such as excel.

   This will allow bank representative to easily approve or deny the loan, and can be automated using Box Relay.

   This is a killer application, because it will increase the efficiency of document processing, and will speed up and automate the work of many employees. This will shift Box from a core business of file storage and file sharing, to a more meaningful business of data analytics and business processes. This will greatly increase the value proposition of the Box product, especially to larger organizations and banks that handle large amounts of paperwork and documents. As Aaron Levie has mentioned, Box strives to become a platform for enterprise business, like Salesforce, on which 3rd party developers can build applications and processes. This has the potential to massively increase the revenue and growth of Box.

4. Update removed the ability to view notifications on a single page. You have to scroll through them from the top tool bar. Please add back!

   The newest update removed the ability to view notifications (@mentions, etc) on a single page. You have to scroll through them from the top tool bar. This makes these difficult to managed properly. This needs to be added back ASAP!

7. UX - Not clear when a note name is taken

   When a user insert a note name and the name is already taken, there is a small notification at the end of the line.
   It is not visible enough, and when focusing out the name reverts to the previous option.

   It took me 2-3 times to understand what the issue is because the notice wasn't clear enough.

   Possible solutions :
   1. add a suffix to the name
   2. make a red bold notice on the name so the user can't miss it

8. Usage Logs and Admin Events don't report version reversion

   ITEMMAKECURRENT_VERSION is a Standard User Event in the API but doesn't show up in Usage Logs or Admin Events.

   When a previous version of a file is promoted as the latest version, we do not receive an enterprise notification for that.

   If we quarantine a file (create tombstone as say version 2) and the user makes the v1 version as latest (v3), then the event received is of type user event and not an enterprise event, which makes us not be able to process such a change.

9. @mention notifications are sometimes unreceivable

   Collaborated users can't receive notifications in some cases when they are mentioned in comments.

   Although the article linked to the URL below says this problem is already know, it doesn't tell in what cases this would happen.

   We would appriciate if you could tell us when this problem happens.
   And, we hope this problem will be solved as soon as possible.

10. Additional info in Anomalous Download Shield e-mail notifications

    It would be very helpful to see "Previous weekly download amount", "anomalous download amount" and the "delta" on Anomalous download e-mail notifications. We use these to identify notifications that require further investigation, but these are only available by clicking into the reports which make this kind of detection difficult to scale and manage.

11. Shared links auto-expiration exception for specific folders

    Currently, the auto-expiration policy for shared links applies to all folders and files. For shared links on folders, it would be great if we could prevent specific folders from expiring (similar to custom notifications settings on specific folders).
    We have a couple of folders that are synced and shared using public links and shouldn't expire.

12. Option to Designate Which Email Address (Primary vs. Alias) is Used for Box Email Notifications

    Admin is SSO required and is unable to receive email notifications on their primary email address used for SSO.

    Email notification in Box currently are not sent out to aliases.

    However, when testing with the other email aliases for their company, the emails went through correctly.

    The issue is that changing the Box primary email address requires changing the SSO primary email attribute which would break the login flow for other applications and programs.

    We would like to have email notifications be able to be sent to these aliases.

    We do not want to do the workaround of configuring their SSO credentials on our end to allow email notifications to come through while allowing our login process to be maintained.

    This is not a priority at the moment given our roadmap commitments. We will reconsider with additional demand.

13. Password Resets by Administrator

    This weekend, our organization had an internet outage that stopped email from delivering for four days. I had a user whose password expired and due to the password reset process being wholly dependent on email, the user was unable to work in Box, which is where all their files are, so they couldn't work. I setup a call back and was told that the process needed email in order to manually reset the user's password.

    There needs to be a way where administrators can reset a user's password in the admin console. There are times when email is not a viable way to reset passwords in order to maintain functionality.

    Ideally, I would like to be able to setup a user's password and then set a time-frame for when they must change it to allow them access but then have a clear time-frame on when they must change from a temporary password.

    I know I saw this in another suggestion and I voted for it, but this would never have happened if the user had known their password was about to expire. Email notifications at set intervals (like 14, 7, 3, 1 days) would prevent a slew of issues.

14. Need All User Events stream API like admin_logs_streaming

    Currently Box has an API for collecting individual user events, but there is no API for collecting administrative user events for an entire tenant at once.
    This makes it difficult to develop an application that collects all tenant user events in one place and then links them to other services, such as internal system notifications or Box-slack DM.

    It would be a great improvement if there was an API to collect user events equivalent to adminlogsstreaming.

    As for user notifications, it seems that email and Zapier have been used to achieve this, but each of these is becoming a more serious problem.

    Email is becoming more secure every year and unpredictable mail drops are becoming more frequent. It is doubtful that email can continue to be used as a reliable means of inter-application notification.

    Zapier is a very useful service, but as regulatory trends in various governments require local security certifications, more and more users will find themselves in the position of not being able to use it.

15. Audit Log for Outbound Email Status

    Feature request to allow an audit log for outbound emails sent from Box (noreply@box.com).

    The problem: An external collaborator says they did not receive an email notification for an uploaded/edited file. The external collaborator has the proper Box email notification settings but did not receive an email from Box.
    Currently, there is no way for us to know with certainty that the email left Box's email server OR if there was an issue trying to send to the external collaborator (e.g. collaborator email is blacklisted due to previous bounces).

    We can't help clients with issues on receipt of an email, but currently we don't have a way of knowing with certainty our side (Box) didn't have any issues, either. We have to reach out to support.
    An audit log allows for client/customer self-service.
    A longer term solution could be for automated notifications sent to a Box admin for failed outbound emails.

    Proposed solution: Add a basic audit log for admins to export the email batch history (Box seems to have a 1 or 5 minute queue for outbound emails).
    Logically columns of the export would be:
    Batch ID (e.g. 39028)
    Email ID (e.g. 448737)
    Recipient (e.g. jeff.bezos@amazon.com)
    Email Result (e.g. Queued, Processing, Bounce Reason: Blacklist, Bounce Reason: Invalid email, Bounce Reason: DNS failure, Sent)
    Email Sent Time (e.g. 2024-07-12-090753 UTC)

16. Improvements to opt-in promotional content Admin settings

    With regard to the administrator setting for opt-in promotion content, which is scheduled to be discontinued in December 2023, we are concerned that if the setting item is completely removed, promotions for features not enabled in the Admin Console will be displayed and users will be confused.
    Therefore, we would like to see the addition of a function to customize the display of promotions according to the Admin Console settings, such as not displaying promotions for features not allowed in the Admin Console.

18. @mention notifications should know when you @mention yourself

    Change messaging of @mention emails when @mentioning yourself. Currently it says “someone” @mentioned you, while it would make more sense to provide a response such as “you mentioned yourself in a comment.”

19. Notify users of product updates in-app

    Use in-line notifications in the web app to update end users when a feature is “coming soon” vs. waiting until it’s already launched. It would be great also if you could toggle this on and off on the admin side.
    This is something that more and more apps are doing, like a pop up window to let end users know about new features, especially for features not controlled by the admin.
