1. Enhance Metadata Input Fields in Box Forms (Multi-line Support & Character Limit)

   [Background and Problem]
   A customer is looking to migrate their FAQ management system from Microsoft Lists to Box. Their plan is to store the FAQ answers as metadata. However, we have received feedback that this is impractical because the metadata input field in Box Forms is restricted to a single line, making it difficult to enter long answers.

   Below are our feature improvement requests.

   1. Multi-line Input Support
      We request the ability to either adjust the height of the text input field for metadata, or to select the same format as the "Long Text" field for metadata fields.

   2. Increased Character Limit (Optional)
      We also have a comment from the customer regarding the character limit for the metadata field in Forms:
      "While 400 characters for Japanese is sufficient for basic needs, it would be even better if it were expanded to around 1,000 characters to allow for more detailed information and broaden its use."

3. Ability to create an index of a folder structure

   1) A way to create an index of a folder structure to make it easier for outside collaborators to get an idea of whats down the folder tree. We’re looking for some sort of index (like a table of contents) in an orderly fashion for a particular set of folders. I ran a files and folders report but as just an excel sheet it was relatively useless as a table of contents

4. Comments / Tasks from Desktop (Box Drive)

   In order to currently leave a comment on a file we have to right click on it, click on view on Box drive, which opens chrome, loads the file, then click on the comment icon on the right and then leave our comment

   A quicker and much simpler way of doing this would be to bring in comments and tasks into the box drive app to save us all of those steps of having to do this through our browser. There are a couple ways of doing this

   1) Bring in notifications, tasks and a comment stream into the system tray app. We have that nice search feature now which is amazing so it shouldn't be too hard to add a new tab there for tasks/comments and notifications like we have on the website. Show us a number somewhere to inform how many outstanding tasks, new/unread comments, new file uploads and/or mentions there are that need our attention. From there we could read and reply straight from the system tray

   2) Have a small indicator or number on the file icon itself in windows file explorer that let's us know how many comments/tasks are on that file and if there are any new ones.. We could right click on the right, go to the box context menu into a comments/tasks section that would bring up the discussions on that file. From there, in a popup menu or perhaps it just triggers the same system tray window discussed in the above point, we could read, reply or complete our tasks

5. Ability to get list of annotations through an API

   I would like to use API to get a list of annotations for a file.

   I can use the API to get comments on a file, but not the annotations.

   Could you please implement such an API?

   For example, something like this.

6. Create reports for Shield actions/tracking

   Create reporting for Shield activities, including the following:
   1) Classifications applied by their name (i.e. 'externalpublic used on 157 folders/files'). This would help determine popular and unpopular classifications.
   2) User who applied the classification label and each time they applied one (i.e. Person A applied shield classification labels on 10/1, 10/2, 10/3, etc). Helps see who is using the labels and how frequently.
   3) User and which label they applied (i.e. Person B applied the externalpublic label on 10/1, 10/2, 10/3, etc.). Helps see a combo of the above two bullets.
   4) Number of times a shield classification label prevented file/folder sharing (i.e. internal_only label prevented 300 files/folders from being shared externally). Doesn't have to be a deep dive into which folders, just some gauge of how effective the labels are at stopping things from being shared incorrectly.

   Add auto-lock/unlock feature in Box Drive or provide a configuration tool

   In Box Drive v2.21, it is possible to enable the ability to automatically lock/unlock files when they are opened in Box Drive by modifying the registry.
   However, it is difficult for end users to modify the registry, so we would like to see Box Drive include the feature to automatically lock/unlock files, or provide a configuration tool (such as a batch file for registry modification) to modify the registry.

8. 2-factor authentication enforceability

   The 2-factor authentication that Box.com currently offers for Enterprise accounts is only applicable for unrecognized logins. Would it be possible for Box.com to offer 2-factor authentication for every login in addition to the current unrecognized logins as an improvement/enhancement in the future release. This would help choose which feature customers want. If a customer wants to strictly enforce 2-step authentication with every login, it would help to have that option available as with the current option, it is not possible to do so except for unrecognized logins.

9. Request for Improvement of the “People with the Link” Feature in Box

   Request for Improvement of the “People with the Link” Feature in Box

   We would like to request the following improvements to the “People with the link” option within Box’s Share Link feature, which is used to grant viewing or downloading access to folders or files for organisations or email addresses that do not have a Box account or existing folder permissions.

   At present, requiring the link creator to manually set a password is rather cumbersome, and as a result, many users choose not to do so. Since there is no enforcement mechanism, some organisations restrict or even prohibit the use of this feature due to concerns over security management.

   Furthermore, when compared with other file transfer services, the People with the link option provides somewhat limited functionality for securely sharing files with users or organisations that do not have a Box subscription. Consequently, some organisations opt to use existing external file transfer services instead of relying on the People with the link feature.

   For these reasons, we would like to propose the implementation of the following enhancements.

   1. Enable password protection for the “People with the link” option. 　※No further action should be required from the user.
   2. The generated “People with the link” URL can then be sent to the recipient via email or other means.
   3. When the recipient accesses the link, they are prompted to enter their email address in order to receive the password.
   4. The recipient receives the password notification via email and enters it on the access page.
   5. After entering the password, the recipient is granted permission to view and download the file.

   By providing the above functionality, it would become possible—through administrative console activity logs—to identify, via email address, who accessed or downloaded files shared through the “People with the link” option and when.

   This would enable organisations to verify that files have not been downloaded by unintended recipients, thereby strengthening overall information security management.

   共有リンク機能にて「リンクを知っている全員」を設定し、パスワード設定を有効化した場合の機能改善を提案します。

   本来、「リンクを知っている全員」はBoxのアカウント持たない組織または人達にファイル送信する際に利用され、ファイル転送サービスの代替方法として活用を提案するものです。

   しかしながら、「リンクを知っている全員」のパスワード設定は、共有リンクを作成した本人がパスワードを任意で設定する必要がありとても操作が煩雑です。

   ５．受信したパスワードを入力するとファイルを参照またはダウンロードできるようになる。

   上記の機能を提供することで、「リンクで知っている全員」でファイルを送信したとしても、入力されたメールアドレスをログで確認できるようにすることで、いつ誰がファイルを参照しダウンロードしたのか管理コンソールのレポート機能で確認できるようにすることで、意図しない相手がダウンロードしていないかチェックすることも可能となり、組織全体のセキュリティ強化に繋がると考えます。

10. Request for improvement of mail upload function

    I found a problem with the current mail upload function, so I would like Box to improve it.

    [Request (1): Adding Management Console and Folder Settings]
    Users with Editor permission can change the settings of the folder's mail upload function.
    However, I would like to add the ability to restrict this permission to owners and co-owners to the administrative console and the settings for each folder.

    [Request (2) Timing for saving the settings of the mail upload function]
    If you click "Allow uploads to this folder via email" about the mail upload function of the folder, the URL for the mail upload will be issued immediately and the setting will be saved, but if you make an operation by mistake, you cannot return to the original URL, so I would like you to improve it as follows.

    ① Click "Allow uploads to this folder via email" in the folder setting.
    ② A URL is issued for mail upload.
    ③ It is applied immediately without pressing "Save Changes" in the upper right of the screen.

    ③ This setting is not applied immediately and is saved when you click "Save Changes" in the upper right corner of the screen. A user who performs an operation by mistake can prevent the setting from being changed by not saving the setting change of the folder.

    [Request (3) Checking the change history of the mail upload function]
    I would like you to provide me with a way to check the log (who made what changes and when) when users change their mail upload settings for a specific folder. I can't find out who changed my mail upload settings at this time.

    [Request (4) Behavior when sending mail to a non-existent mail upload URL]
    If the user accidentally changes the URL for the mail upload, the previous URL is invalidated. If you send the mail upload function using the previous URL, the following mail will be sent from Box.

    Subject:
    Unable to process mail request

    Articles:
    Your attempt to email file (s) into 'a folder' was not successful.

    From this email, the user knows that the upload failed but does not know to which folder the upload failed. By including the information about the folder in this mail, the user can know which folder the mail upload failed, so please add that information.

    [Background to the Request for Improvement]
    ・Users upload faxes that arrive at the multifunction device as e-mail attachments to the fax folder of Box using the mail upload function.
    ・Since each user has to move or delete the uploaded files, the user who collaborated with Box's fax folder has been granted the rights of an editor.
    ・Each user is optionally configured to receive an email notification when a file is uploaded to the Box fax folder.

    By performing the above setting, the paper ejection of the fax is eliminated, and the PDF is directly ejected into the Box and the reception notification is received. Fax reception can be confirmed even on different floors and when teleworking, so printing costs are not incurred, loss is prevented, and there is no need to scan later.

    However, a user with Editor rights accidentally clicked "Allow uploads to this folder via email" in the folder settings and reissued the URL for the mail upload.

    As a result, files uploaded to the previous URL were lost. In addition, since it was not possible to check which folder and when the setting was changed in the report, etc., it took a lot of effort to identify the folder. This is how the request for improvement came about. We are currently taking measures by increasing backup methods.

    Please consider it in order to make it simple and safe.

    I found a problem with the current mail upload function, so I would like Box to improve it.

11. Enhanced Locking Experience on Box Drive for Mac

    With Enhanced Locking on Box Drive now launched for Windows (https://support.box.com/hc/en-us/articles/360063653693-Box-Drive-v2-21-Release-Notes), it'll be great to have the same experience, i.e. opening a file will prompt the user to lock the file and auto-unlock the file when closing the file, for Mac users.

    This way all users, no matter what OS they use, can have the same Enhanced Locking experience when working with files via Box Drive.

    The pictures shown in reCAPTCHA v2 like traffic lights and crosswalks are vague, leading many users to fail to log in.
    As a result they would like Box to use reCAPTCHA v3 instead.

13. User Activity Report to log all User Events that happened in external outbound folder (grey folder)

    Currently, User Events (such as file upload, download and delete by Managed Users) that happened in external outbound folder (grey folder) are logged and can be obtained via Box API. And these user activities within grey folder (by Managed Users) shall be logged in User Activity Report.

    These User Events may be required to be kept for few years due to organization's security policy. But currently, User Events are only stored between 2 weeks and 2 month, and user ID needs to be specified when ever it needs to be obtained via API.

14. Allow Excel's Shared Workbook feature to work on Box.

    Microsoft Excel has a feature called Shared Workbook that allows multiple users to edit Excel file simultaneously and still migrate each modifications into each others' Excel files.

    While we won’t be building in support for the Shared Workbook feature as requested, we will be providing capabilities in the near-future that will provide more visibility when you open a file that is locked in order to prevent file editing conflicts.

    Zoom for Government is a FedRAMP Authorized SaaS service operating at the Moderate baseline and has reciprocity to DoD Impact Level 2. Zoom for Government is operated and controlled by only US Persons-including all customer support personnel, sales engineers, and operations personnel. Zoom for Government has a separate Software Development LifeCycle that is implemented and controlled by US Persons only.
    Zoom for Government has all the same features within Zoom Commercial but operates in a dedicated, secure infrastructure designed to meet the requirements of FedRAMP Moderate baseline and DOD Impact Level 2.
    We need Zoomgov accounts to be supported with Zoom for Box application.

    The New App management UI was released the week of Feb 3 2020. We would like to see a few enhancements:
    1) Provide a way copy or export the whitelist of client IDs for custom applications. This is found under Admin Console - App - Custom Apps - Settings - Disable unpublished apps by default
    2) List the App ID or App Name along with the Client IDs that are whitelisted for custom applications. This is found under Admin Console - App - Custom Apps - Settings - Disable unpublished apps by default
    3) Provide better explanation for each section under Custom Apps. Where are the Oauth2 apps entered versus the JWT apps. What is Require manual admin authorization for transactional access Apps. This is found under Admin Console - App - Custom Apps

17. Metadata triggers without folder specification

    --I want Box Relay to be able to kick workstreams off in sub-folders that don't exist yet. We have a general "Accounts" folder, and I want my metadata tag triggers to affect sub folders in that parent folder. However, the metadata trigger requires me to specify which specific folder to trigger the Relay within. I suggest one of two things:
    1. Remove the need for folder specification. If I have a metadata trigger, do I really need to specify the folder in which the content lives? Relay should scan for that metadata tag, wherever it occurs.
    2. Allow for Relay to scan in parent and sub-folders. While the specific account folders do not exist yet, I still do have the "Accounts" parent folder--I should be able to use this folder location in the metadata trigger so that Relay will scan that folder AND any sub-folder within.

    Either of these enhancements would greatly improve our account certification process. We regularly add new accounts, and I don't want to have to create new Relays every time we add one.

    Thanks for your feedback. We’re exploring introducing new cascading triggers or system-wide workflows which would address this issue.

18. Manage collections folder through sub-collections

    I have too many Box folders shared with me and they all show up under "All Files". Collections is a good way to organize but I need to have a hierarchy/folder structure for Collections. Currently this can only be achieved through faking a folder structure through naming.

    Being able to create sub collections would solve this.
    
    Currently my Box account is a huge mess of shared folders.

19. Improve annotations for Box Previewer UI element

    One of the main feature of our proof-of-concept utilizes Box’s concept of collaborations. We want to demonstrate beyond the capability of the basic file/folder sharing by utilizing the Box Previewer UI element and enabling the annotation feature. The annotation is such a great feature to enhance business and client relationship in the digital space. We implemented this feature however we found there are some challenges and we are hoping Box can help us find a solution to create a better experience.

    1. We were able to activate the annotation but only within app users. Both our employee entities and customer entities are able to share and view these annotation. When it requires a non-app user to see these annotation (e.g. customer sharing an annotation with a managed-user created from Box.com) those annotation are not viewable by managed users and they cannot make further annotation to the same document. We are really hoping that the annotation feature in the previewer will come out of beta and be implemented in the public Box.com domain for all to use. This would complete the full user experience that we are hoping for.

    2. The highlighter, pen and comment bubble is a great start in annotation tools, however, we think that these tools can evolve a bit more with some more choices. Having control on color, pen style and perhaps dropping larger “sticky” notes to help readers to see these annotation more vividly and the ability to have finer control on how users annotate would enhance the experience to digitally markup a document with ease. You can also see with only one choice in color, it conflicts with the stardard black colored text of the document.

20. Export Control (ITAR/EAR) support by Box Shield (Increase the maximum number of Shield Classifications & Applying a classification label to

    In the case of having global offices/teams, contents related to Export control are dispersed globally. However, the contents need to be in compliance for Export control.
    The following two enhancements work well for supporting ITAR/EAR with dispersed contents in one Box entity:
    1. Increase the maximum number of Shield Classifications - There is a limitation Classification (it's 25) now. To create combination label via country-base for ITAR/EAR, it requires a larger number of classifications.
    2. Applying a classification label to a specific group - this ability is required to support large number of Classification (above enhancement).
