1. Audit log for changes to Hub settings.

   I would like changes to the “Hubs Global Presets” or “Hub Settings” to be recorded in the security log.
   Even if we apply restrictions on collaboration and shared links, there is currently no way to trace what happened when those restrictions are somehow removed. From a security and compliance standpoint, not being able to review an audit trail of these operations poses a significant risk.

2. Metadata attribute update

   As the increased use of metadata becomes popular, it would be great to have updates attributes in the metadata templates automatically update in the file requests/ forms or metadata options where they are being used.

   Currently, in files requests and forms the metadata templates needs to be manually updated in the designated forms, which can be hard to track.

   Description:
   Today in Box Forms, checkbox and radio button inputs are not natively mapped to Boolean metadata fields (true/false or yes/no), which limits the ability to trigger workflows or create metadata-driven views based on user responses.

   Feature Request:
   Allow checkboxes and radio buttons in Box Forms to map directly to Boolean metadata fields:

   If a checkbox is checked, metadata should reflect “true”; if unchecked, “false.”

   For yes/no radio button questions, allow mapping directly to true/false metadata fields.

   Impact & Value:

   Streamlines workflow automation with Box Relay (e.g., trigger based on form input).

   Enables metadata-driven views (e.g., show only records where “Sensitive Data” = true).

   Reduces reliance on workarounds to parse and apply Boolean logic from form responses.

5. Allow separate collaboration and shared link controls for Box Automate and AI Home

   Currently, the following Enterprise Setting controls both Box Automate workflow sharing and sharing of content located in AI Home session folders.

   Enterprise Settings > Content & Sharing > Additional Collaboration Configuration

   Our organization would like to apply different sharing policies to Box Automate and AI Home.

   Box Automate
   ・Allow workflows to be shared between managed users within our organization
   ・Prevent workflows from being shared with external users
   AI Home
   ・Prevent collaboration on content created or uploaded in AI Home session folders, including Notes containing saved AI responses, for both internal and external users
   ・Prevent shared links from being created for this content

   However, the current configuration requires us to choose between the following options:

   ・When “Restrict all collaboration and shared links” is selected, sharing of AI Home-related content can be restricted for both internal and external users, but Box Automate workflows cannot be shared with managed users.
   ・When “Restrict external collaboration and public shared links” is selected, Box Automate workflows can be shared with managed users, but internal collaboration on AI Home-related content remains available.

   As a result, we cannot implement our desired configuration:

   ・Box Automate workflows can be shared between managed users.
   ・AI Home-related content cannot be shared with either internal or external users.

   Box Automate and AI Home have different purposes and sharing requirements. To enable organizations to use Box Automate collaboratively while maintaining strict controls over AI Home-related content, we request separate administrative settings for the following:

   1.Sharing of Box Automate workflows
   2.Collaboration on content and Notes located in AI Home session folders
   3.Shared link creation for content and Notes located in AI Home session folders

   Our desired configuration is:

   ・Box Automate: Allow workflow sharing with managed users
   ・Box Automate: Prevent workflow sharing with external users
   ・AI Home-related content: Prevent collaboration with all users, including managed users
   ・AI Home-related content: Prevent shared link creation

   Separating these settings would allow organizations to securely collaborate on Box Automate workflows while continuing to restrict the sharing of AI Home-related content.

   現在、Enterprise設定の以下の項目により、Box Automateのワークフロー共有と、AI Homeのセッションフォルダ配下にあるコンテンツの共有が同一の設定で制御されています。

6. Session Folder Picker Not Visible at Session Start in Box AI Home

   The Session Folder picker in Box AI Home does not appear until activity begins in the session and Box AI creates the dedicated Session Folder. We understand that this behavior is currently by design.

   However, users must first submit a placeholder message before they can view or change the Session Folder location. It would be helpful for the Session Folder picker to be visible and available at the beginning of the session so users can select the intended folder before submitting their first prompt.

7. Automate: Request for Copy Feature for Approval Tasks

   When defining Outcomes in Box Automate, the copy function is useful for cases where similar outcomes need to be set up repeatedly within the same flow, for example when creating a flow that requires multiple rounds of approval, where there is likely to be considerable demand for this capability.
   Currently, however, this option is not available for Approval Tasks, as the copy icon does not appear when the outcome type is an Approval Task.
   It would be helpful if Approval Tasks could also support the same copy functionality as other outcome types.

8. Dynamic approving

   Customer has a workflow which requires 2 out of 3 stakeholders to approve a document before it progresses. Asking the product team to provide dynamic approval so, for example, when one stakeholder approves a document, the the workflow progresses to require one of the remaining assignees to approve the document.

10. Movable preview screen toolbar

    When the preview screen is opened, a toolbar appears at the bottom of the screen showing the zoom factor and page number, but since it is fixed at the bottom of the page, the preview screen is partially hidden in some documents, making it difficult to see.
    If this toolbar could be temporarily hidden or moved, it would make the preview screen easier to see.

    Request:
    Enable Box AI (Ask, Extract, Hubs, Agents) to ingest and analyze VTT (.vtt / WebVTT) files.

    Reasons:
    VTT is the default transcript format for Zoom and Microsoft Teams, so a massive volume of VTT files is already stored in Box.
    Transcripts contain high-value data (decisions, action items, customer voice, Q&A), but Box AI currently cannot read them at all.
    Leaving this data unusable is a major lost opportunity for Box AI's value.

    Nice to have:
    VTT preview support in Box Preview.

    Request for Improvement of the “People with the Link” Feature in Box

    We would like to request the following improvements to the “People with the link” option within Box’s Share Link feature, which is used to grant viewing or downloading access to folders or files for organisations or email addresses that do not have a Box account or existing folder permissions.

    At present, requiring the link creator to manually set a password is rather cumbersome, and as a result, many users choose not to do so. Since there is no enforcement mechanism, some organisations restrict or even prohibit the use of this feature due to concerns over security management.

    Furthermore, when compared with other file transfer services, the People with the link option provides somewhat limited functionality for securely sharing files with users or organisations that do not have a Box subscription. Consequently, some organisations opt to use existing external file transfer services instead of relying on the People with the link feature.

    For these reasons, we would like to propose the implementation of the following enhancements.

    1. Enable password protection for the “People with the link” option. 　※No further action should be required from the user.
    2. The generated “People with the link” URL can then be sent to the recipient via email or other means.
    3. When the recipient accesses the link, they are prompted to enter their email address in order to receive the password.
    4. The recipient receives the password notification via email and enters it on the access page.
    5. After entering the password, the recipient is granted permission to view and download the file.

    By providing the above functionality, it would become possible—through administrative console activity logs—to identify, via email address, who accessed or downloaded files shared through the “People with the link” option and when.

    This would enable organisations to verify that files have not been downloaded by unintended recipients, thereby strengthening overall information security management.

    ５．受信したパスワードを入力するとファイルを参照またはダウンロードできるようになる。

    上記の機能を提供することで、「リンクで知っている全員」でファイルを送信したとしても、入力されたメールアドレスをログで確認できるようにすることで、いつ誰がファイルを参照しダウンロードしたのか管理コンソールのレポート機能で確認できるようにすることで、意図しない相手がダウンロードしていないかチェックすることも可能となり、組織全体のセキュリティ強化に繋がると考えます。

    After deploying Box AI to users, it would be very helpful to have the ability to log and review the prompts that users enter.
    This would support security and compliance needs, such as detecting potential malicious usage and enabling proper auditing when required.

    I would like to be able to notify administrators of Box Shield threat detection alerts with different severity levels depending on the file extension.
    Under the current specification, severity levels are configured per threat detection rule, but there is a demand to set severity levels based on file extensions.

    When a file has multiple versions, we need to know exactly which version was previewed or downloaded.

    Today, the Activity Report shows that a preview or download took place, but it does not identify the specific file version involved.     現在のアクティビティレポートでは、プレビューやダウンロードが実行されたことは確認できますが、操作対象となったファイルのバージョンまでは分かりません。そのため、インシデント調査や監査対応、顧客・取引先へ正しいバージョンを共有できたかの確認において、実際に閲覧・取得された内容を特定することが困難です。

    要望: プレビューおよびダウンロードのイベント詳細に、ファイルのバージョン番号、可能であればバージョンIDも記録してほしいです。特にアクティビティレポートで確認できると助かります。また、Events APIやその他の監査ログでも取得できると、より幅広い運用に活用できます。

    「誰が」「どのファイルの」「どのバージョンを」プレビューまたはダウンロードしたのかを追跡できれば、監査性や説明責任が向上し、Boxをより安心して利用できるようになります。

18. Edit right-click action items when using the desktop app.

    It would be really helpful to have the ability to customize which Box actions appear in the Finder right-click menu when using Box Drive on macOS. Currently, Box adds a large number of actions, which makes the context menu feel cluttered and pushes frequently used Finder actions further down. I’d like to be able to selectively enable or disable individual Box actions—for example, keeping “View on Box.com,” “Make Available Offline,” and “Copy Shared Link,” while hiding options like “Create a Box Note,” “Create a Box Canvas,” or “Search in this Folder.”

19. Increase the Maximum Number of Actions per Box Automate Workflow

    We would like to request an increase in the maximum number of actions that can be executed within a single Box Automate workflow.

    Currently, the limit is 200 actions per workflow execution. However, based on real customer business requirements, some workflows are reaching this limit and cannot be fully implemented within the current constraints.

    Increasing the limit to approximately 2,000 actions would address these use cases and enable customers to automate larger-scale business processes without requiring complex workarounds or workflow redesign.

20. Box Drive Cloud Files: Selecting the Cache Storage

    With the release of Box Drive Cloud Files, the specification for where the Box Drive cache is stored has been changed:
    Traditional Box Drive: C:\Users<USERNAME>\AppData\Local\Box\Box\cache
    Box Drive Cloud Files: Same folder as Box Drive
    In our company, we have changed the Box Drive mount location and are operating with a reduced capacity on that mounted drive. Due to the above specification change, upload errors caused by insufficient space are occurring.
    It is not realistically possible to re-image all corporate users’ PCs and change their storage capacities. A forced migration to Box Drive Cloud Files would therefore impact all users in our organization and could potentially lead to a decline in Box usage.
    We strongly request the addition of a feature in Box Drive Cloud Files that allows us to select the cache storage location on the C drive, as was possible with the previous specification.
